Invoice Numbering: Formats and Practical Rules

7 min readBy InvoodleUpdated

A customer sends a payment reference, but two invoices have the same number. Or you move to a new laptop and the editor starts suggesting 0001 again. A simple numbering plan makes both problems easier to spot before you send a bill.

Choose a format you can maintain, keep one reliable record of issued numbers and check each new invoice against it. This guide explains the choices, the country-specific limits and the parts Invoodle currently leaves to you.

The country notes below cover numbering, not every invoice requirement. Check the rules for your document type and jurisdiction before adopting a series. The example formats are planning examples, not automatic Invoodle settings.

1. Choose an invoice number format you can maintain

An invoice number identifies a particular document in your records. A customer name, PO reference and payment reference can help you find it, but they serve different purposes. Avoid using a customer’s email, phone number or other personal information as the number.

Start with the simplest format that fits your recordkeeping and any applicable rules. Four counter digits make 0009 sort before 0010 in a text list; four digits are a formatting choice, not a universal legal requirement.

FormatExamplePlanning note
Prefix and counterINV-0042Continue the sequence without a year reset.
Calendar year and counterINV-2026-0042Document what happens when the year changes.
Financial year and counterGST/26-27/0042Make the financial-year period clear in your register.
Branch, period and counterDEL/26-27/0042Use distinct full identifiers and coordinate each branch’s series.

Keep the full identifier short enough for every system you use. If Indian GST Rule 46 applies, its 16-character limit includes the prefix and separators. These examples fit within that limit; that does not make a finished invoice compliant by itself.

2. Check the rules for your country and invoice type

A useful numbering habit is not necessarily a legal requirement everywhere. In particular, distinguish a general invoice from a full VAT invoice and from a permitted simplified document.

ScopeNumbering guidance
India: GST tax invoiceRule 46(b) requires a consecutive serial in one or more series, unique for the financial year, up to 16 characters. Letters, digits, hyphen and slash are permitted.
UK: general invoice guidanceGOV.UK lists a unique identification number among the required details.
UK: full VAT invoiceHMRC requires a sequential identifier based on one or more series. Simplified and retail VAT invoices have separate provisions.
EU: full VAT invoiceThe European Commission lists a unique sequential number. National provisions and simplified-invoice rules also need checking.
Australia: GST tax invoiceATO Community support confirms that an invoice number is optional. Adding one can still help your own records.
US: federal recordkeeping guidanceThe IRS focuses on records that clearly show income and expenses, supported by documents such as invoices. This is not a conclusion about every state, industry or customer requirement.

3. Decide how a new period or series starts

Do not reset a counter simply because a new month or a new software account has started. Decide the period, prefix and starting value in advance, then check that plan against the rules you follow. Rule 46’s financial-year uniqueness requirement does not itself say that every business must restart at 1.

If you use separate series for branches, give each one a distinct prefix and a person responsible for its register. Treat the complete identifier as the reference: DEL/26-27/0042 and MUM/26-27/0042 are distinguishable; two documents both called 0042 are not.

A customer-specific series can become hard to manage as clients change. A separate client or PO reference often makes searching easier without changing the invoice sequence.

4. Keep a record of gaps, cancellations and duplicate copies

When you find a missing number, investigate it and record the explanation. Do not invent a sale or renumber later issued documents just to make the list look tidy. Keep the original document and supporting notes where the relevant recordkeeping rules require them.

The register below is a fictional recordkeeping example outside the app. It shows why a cancelled entry still needs an explanation; it does not decide whether a cancellation or correction is legally sufficient for your transaction.

NumberRegister entryAction
INV-2026-0041Issued to Customer AKeep the issued copy and payment reference.
INV-2026-0042Cancelled before sendingKeep the reason and the draft/reference in your records.
INV-2026-0043Issued to Customer BLeave the later issued number unchanged.

If a customer needs another copy of the same invoice, resend that document with its existing number. If two different transactions accidentally received the same number, preserve the evidence and follow the applicable correction process. Do not quietly overwrite one customer’s invoice with another.

The current Invoodle document statuses do not include Cancelled, and the editor does not create dedicated credit or debit notes. Deleting a saved record is not a cancellation register. Maintain those records separately or use a system that supports the required process.

5. Check these limits of Invoodle’s number suggestions

The suggested number is a convenience for a single browser. It is not a shared issued-invoice register or a promise of a gap-free sequence.

Current behaviorWhat it means for you
One shared browser counterInvoices use INV, quotes QUO and receipts REC, with one numeric counter shared across those types and business names.
Calendar-year suggestionsA fresh counter starts at 0001 using the device’s current year. It does not automatically follow an April–March financial year.
Saving and conversion can advance itA new editor save using its suggested number advances the counter, including a saved draft. Converting a document from Documents also advances it when creating the conversion draft.
A typed number changes that document onlyEditing the number does not configure or advance the counter to follow a custom series. Review the next suggestion yourself.
Browser-local storageAnother browser or device can suggest the same number. Clearing site data can lose the local counter. Signing in does not automatically sync it.
A suggestion is not a reservationPDF download alone does not reserve a number. Concurrent tabs and separate users are not coordinated by a central numbering service.

For example, from a fresh 2026 counter, save invoice INV-2026-0001, then create and save quote QUO-2026-0002. The next invoice suggestion is INV-2026-0003. That explains a gap in the invoice-only list; it is not a suitable independent consecutive invoice series wherever one is required.

6. Move from another invoicing system without losing the sequence

  • Export the old issued-document register, including cancelled or corrected references you need to preserve.
  • Confirm the last issued number in every active series and check for drafts prepared by other people.
  • Record the changeover date and decide whether to continue a series or start a permitted, distinct new one.
  • If the last invoice is INV-2026-0240 and you continue that series, review INV-2026-0241 as the next candidate. Check it against the full register before using it.
  • In Invoodle, enter the reviewed number manually. That edit does not teach the local counter your chosen starting point or prefix.
  • Export a browser backup and keep the issued PDFs and register separately. Importing a backup does not reconcile duplicate invoice numbers across devices.

7. Use Invoice Check as one part of the review

Invoice Check can flag a matching number among documents saved in this browser for the same business name and document type, excluding the current saved record. Its number comparison ignores case and whitespace.

It cannot see an invoice in your spreadsheet, another browser or a colleague’s account. It does not establish that a number is valid under local tax rules, detect every sequence gap or enforce a unique number when you save. Compare the full register before sending.

8. A short check before you issue the next invoice

  • Use the agreed full prefix, period and counter format.
  • Confirm the number belongs to this transaction and has not already been issued.
  • Review other devices, users and document types that could affect the sequence.
  • Keep an issued copy, a register entry and the supporting transaction details.
  • Review gaps and corrections regularly, with the process required for your business.

Frequently asked questions

Do invoice numbers have to start at 1?

There is no single rule for every jurisdiction. Choose a starting point that fits your applicable rules and record it. Do not change the start just to suggest a longer trading history.

Must I restart invoice numbers every year?

Check your rules and series plan. For example, Indian GST Rule 46 requires uniqueness within the financial year but does not itself require a reset to 1. If a counter restarts, a clear period prefix can distinguish the full identifiers.

Will a custom invoice number update Invoodle’s counter?

No. The edit changes that document’s number. It does not configure the next number, a custom prefix, a separate business series or a financial-year reset.

Can I reuse a cancelled invoice number?

Keep a traceable record rather than assigning an already issued identifier to another transaction. Cancellation and correction requirements vary. Invoodle does not provide a cancellation register.

Does Invoice Check prevent duplicate invoice numbers?

No. It flags matches within the saved documents supplied from this browser, scoped to the same business name and document type. It does not reserve numbers or check your other systems.
