Free invoice maker for small business
Create an itemised invoice with your logo, agreed prices and payment instructions. Whether you sell products, provide a service or deliver both, you can prepare a PDF for your customer to review.
By Invoodle · Updated
Review your local invoice requirements before issuing. The general editor has one document-level Tax adjustment and no complete GST filing workflow. It does not collect payments or send automatic reminders. Invoice and Quote actions select a mode; check any existing draft before editing.
Both actions use the Modern template. Choose the agreed currency and review your document before sending.
Choose the document that matches the transaction
A customer asking for a price needs different information from one who has already paid. GOV.UK’s UK invoicing overview distinguishes an invoice from a receipt. The table below separates each purpose from the modes available in Invoodle.
| Document | What it is for | What to check in Invoodle |
|---|---|---|
| Quote | Set out the proposed scope, quantities, price and terms for the customer to review. | Quote mode is available. Keep acceptance evidence separately; PDF creation does not record customer approval. |
| Invoice | Request payment for the agreed transaction, with the applicable issue timing and particulars. | Invoice mode is available. Check required tax fields and your own number register before issue. |
| Receipt | Acknowledge money you have actually received, rather than request it again. | Receipt mode is available. Converting a saved invoice to a full-invoice receipt requires its full payment to be recorded first. |
| Proforma | Consider a preliminary document when your transaction calls for one, after checking local requirements. | There is no dedicated proforma export mode. Adding the word to invoice notes does not create a reviewed proforma document. |
| Credit or debit note | Review the appropriate correction document when an issued charge changes. | There is no dedicated credit/debit-note export mode. A negative item alone is not a verified correction workflow. |
Australia’s quote preparation guidance highlights scope, costs, terms, dates and acceptance. Agree changes in writing and retain the customer’s approval separately. Contract effects depend on your circumstances and applicable law; the app does not determine them.
Small-business invoice example: products, setup and delivery
A fictional print studio supplies 12 menu cards and an artwork setup service. The customer has agreed a fixed discount and delivery charge. All figures below are USD and use the same totals and balance calculations as the editor. Viewing the example does not load or change your draft.
Reference: EXAMPLE-ORDER-001 · Issued · Agreed due date
| Item or service | Quantity | Rate (USD) | Amount (USD) |
|---|---|---|---|
| Printed menu cards | 12 PCS | $8.00 | $96.00 |
| Artwork setup — agreed fee | 1 job | $60.00 | $60.00 |
| Item subtotal | $156.00 | ||
| Tax — none selected for illustration | $0.00 | ||
| Agreed discount (subtract) | $16.00 | ||
| Delivery (add) | $10.00 | ||
| Invoice total | $150.00 | ||
| Payment received after issue | $50.00 | ||
| Remaining balance | $100.00 | ||
USD 156 minus the USD 16 discount plus USD 10 delivery gives a USD 150 invoice. A USD 50 payment received after issue leaves USD 100 due. The payment does not reduce the sales total, and it is not a second discount.
No tax is selected for arithmetic illustration only; this does not establish an exemption. The example’s 14-calendar-day payment period is an agreed scenario, not a universal deadline. Check how tax, discounts and delivery must interact for your actual supply.
Build a useful invoice for the customer’s accounts team
Use descriptions that identify the order: a product specification, service period or approved job reference. A trades business might list labour and materials separately; a shop might list quantities and delivery; an agency might name the agreed milestone. These are billing descriptions, not decisions about tax classification.
- The correct supplier identity and contact details, and the customer’s billing entity and address.
- An invoice reference checked against your register, issue date, supply or service date where required, and any purchase-order reference.
- Specific goods or services, quantities, units, agreed rates and the currency code.
- Applicable tax, agreed discounts and delivery charges, the full invoice total, verified payments and remaining balance.
- The agreed due date and payment instructions, checked against the final PDF before you send it.
Treat this as a preparation checklist, not a complete legal specification. For example, UK invoice requirements distinguish supplier identity details and VAT invoice particulars. Start with the country invoice checklists for your own jurisdiction.
Prepare and review the PDF
- Confirm Invoice mode and the intended customer. Add your business identity and upload a logo in Branding if you want one.
- Choose the agreed currency, reference and dates. Use clear items, quantities and prices; put an order or service-period reference in notes where appropriate.
- Review adjustments and actual money received. The general editor applies percentage Tax, Discount and Shipping separately to the item subtotal; it does not recalculate tax after the separate order discount or provide a separate shipping-tax control.
- Check the preview and downloaded PDF, send it through your chosen channel, and retain a copy with the approval and payment evidence.
Check any free-text references in the downloaded template. A note does not replace a required structured tax field. Country selection and display currency do not determine tax registration, rates or treatment, and changing the currency does not convert entered prices.
Reuse details without confusing the document history
To reuse an accepted saved quote, use its conversion action to create an invoice draft, then review the number, dates, client, items and terms before issue. To repeat an unrelated sale, duplicate a document and check every carried-over detail. Neither action is automatic recurring billing or customer approval.
For an issued invoice, record only payments you have verified. The saved full-invoice receipt conversion stays unavailable while a balance remains. Keep a partially paid invoice with its remaining balance instead of marking the whole transaction paid. Payment links and QR codes are instructions, not payment verification.
The suggested number is local to this browser and uses a calendar year. Check your own register and other devices to avoid duplicates or a sequence that conflicts with local rules. Saved outstanding totals are kept separate by currency; USD and INR amounts are not one combined money total.
Know when you need a more specialised workflow
The general editor is useful for preparing documents, but its single Tax adjustment is not a complete multi-rate or statutory e-invoice system. India mode has INR and a supplier GST-number input; it has no dedicated HSN/SAC, buyer GSTIN, place-of-supply or separate CGST/SGST/IGST controls, and it does not create an IRN or file returns. Review the GST field and PDF limits before issuing a GST document.
If you need bank reconciliation, stock control, payroll, automatic recurring invoices or tax filing, assess a suitable system for those tasks. Invoodle’s guest PDF workflow does not perform them. Confirming the agreed work, payment terms and correct document remains your responsibility.
Back up your invoices and supporting records
Guest drafts, saved documents and reusable details live in this browser. Storage can be cleared, full or blocked, and another device may not have the records. Keep independent PDFs and backups, including your agreement, delivery evidence and payment records. US IRS recordkeeping guidance explains that retention depends on the document and event; check the rules that apply to your business.
Optional account, API and sharing features have different data handling. Signing in does not automatically sync guest documents. A downloaded PDF or full share link may expose the included details. Review the storage and sharing explanation, and use saved documents and backup tools when needed.
Official sources and review scope
Reviewed 2026-10-19. These references cover the labelled jurisdictions and topics, not a worldwide tax or contract-law review. Read current local requirements before issuing.
Small business invoice questions
Can I make a free small business invoice PDF without signing up?
Yes. Guest invoice creation, browser-local saving and PDF download do not require an account. The invoice action selects Invoice mode and the Modern template. Optional account and sharing features have separate data handling.
Can I add a logo to my business invoice?
Yes. Upload it in the editor’s Branding section and review the chosen template and downloaded PDF. Also check your business name and any identity details required locally; a logo does not replace them.
Can I turn a quote into an invoice?
The saved-document conversion creates an invoice draft with a new reference and a link to the source quote. Review the customer, items, dates, tax, terms and number before issuing. Quote approval is not captured automatically, and a quote does not prove payment.
When can I convert an invoice into a receipt?
For the saved full-invoice conversion, record the full payment first. If a balance remains, keep it as an invoice with the actual payment and remaining balance shown. Payment recording is manual; check your bank or payment-provider evidence yourself.
Does selecting India create a complete GST tax invoice?
No. India selection provides INR and a supplier GST-number input, but there are no dedicated buyer GSTIN, HSN/SAC, place-of-supply or separate CGST/SGST/IGST controls. The editor does not create an IRN or file returns. Review a suitable GST workflow before issue.
How are tax, discount and delivery calculated?
They are document-level adjustments. A percentage Tax, Discount or Shipping adjustment is calculated from the item subtotal. Tax is not recalculated on a subtotal reduced by the separate discount, and there is no separate shipping-tax control. Check whether that calculation fits your transaction.
Will changing currency convert my prices?
No. The display-currency override changes symbols and formatting, not entered amounts. Agree the currency and prices, and review any tax-accounting currency or settlement requirements separately. Saved outstanding amounts are grouped by currency rather than added across currencies.
Are my saved documents an accounting backup?
Browser-local storage is convenient for reopening, but it can be cleared, blocked or unavailable on another device. Download PDFs and keep independent backups and supporting records. Optional sharing, account and API features have different data handling; signing in does not automatically sync guest documents.
