Describe the work the way you agreed to bill it

“Design services” leaves a client guessing. A description such as “Homepage wireframes — approved milestone 2” connects the charge to the work. Writers can name the article or campaign; developers can identify the release or support period. Use the billing model in your agreement.

Freelance billing models and line-item examples
Billing modelExample descriptionBefore you issue
Hourly workWebsite accessibility review — 6 hours × USD 60State the work period and agreed rate; keep the approved time record separately.
Fixed projectLanding-page copy — agreed project fee, USD 600Name the deliverable and scope version; use quantity 1 for the agreed fee.

RetainerNovember support — agreed monthly packageState the covered period, included work and any separately agreed overage.

Worked example: hours, a project fee and a partial payment

This fictional USD example uses the same totals and balance calculations as the editor. It does not load or change your saved documents.

Remaining balance$660.00

The USD 300 payment reduces the balance, not the sales total. No tax is selected solely to keep the arithmetic clear; this does not establish an exemption or a rate. The 14-calendar-day payment period is an example agreement, not a statutory default.

What to include on a freelance invoice

  • Your correct business name, billing address and contact details, plus the client’s billing entity and address.
  • An invoice number checked against your register, an issue date, and the service or supply date or period where required.
  • Specific work descriptions, hours or quantities, the agreed rates and the currency written clearly.
  • Any applicable tax and adjustments, the full invoice total, actual payments received and the remaining balance.
  • The agreed calendar due date, payment instructions and the client’s purchase-order or approval reference, if needed.

This is a preparation checklist. Mandatory particulars depend on your business and jurisdiction. For example, GOV.UK distinguishes sole-trader and limited-company identity details in its UK invoice guidance. Use the country invoice checklists to start the local review.

Make the document in four steps

  1. Open the editor and confirm Invoice mode, your business details and the intended client.
  2. Set the agreed currency before entering prices. Add the reference, issue date, work period and due date.
  3. Enter hours or project items. Review tax and adjustments; record only payments you have verified.
  4. Check the preview and downloaded PDF for required details, totals and payment instructions, then send it through your chosen channel and keep a backup.

Use notes or terms for a service period or purchase-order reference where appropriate, then check that it appears clearly in your chosen PDF template. Free text does not replace a required structured tax field. Read the freelance invoice checklist for more detail.

International clients: agree the currency, then check the tax document

You can choose supported display currencies such as USD, EUR, GBP, CAD, AUD or INR. Changing the display currency does not convert previously entered prices. Confirm the currency code in the document and agree who handles payment-provider fees or exchange differences.

Invoice currency and tax-accounting currency can have separate requirements. For UK VAT, HMRC explains when foreign-currency invoices also need sterling figures. The current editor uses one currency and one general document-level Tax adjustment; it does not generate a complete dual-currency VAT breakdown or multiple per-line tax rates. Review the HMRC foreign-currency guidance where relevant and use a suitable workflow if required fields are missing.

Deposits and corrections need their own review

The example records a payment against an already issued invoice. An advance, deposit, refund or price correction can require different timing and documents under local rules. Invoodle has no dedicated credit-note or debit-note export mode. A negative line item alone is not a verified correction workflow.

Clear payment terms and a practical follow-up

Agree the payment period before work starts and state the exact due date and instructions. Australia’s payment-terms guidance discusses terms in contracts and invoices and starting an overdue-payment conversation politely. Check your own agreement and applicable law before adding interest or fees.

If payment is overdue, check that it has not already arrived, confirm the right person received the invoice, then send a reminder with the reference, remaining balance and due date. The guest PDF workflow does not send automatic reminders or collect and reconcile payments.

Keep a copy you can find later

Guest drafts and saved invoices are stored in this browser. Clearing storage or changing devices can make them unavailable. Save a separate PDF backup along with the agreement, approved work and payment evidence. The IRS recordkeeping guidance explains that US retention depends on the records and events involved; there is no single worldwide retention period.

Optional account, API and sharing features have different data handling. Signing in does not automatically sync guest documents. A downloaded PDF or full share link can reveal the details included. Read the storage and sharing explanation before using those features.

Freelance invoice questions

Can I create a freelance invoice PDF without an account?

Yes. Guest creation, browser-local saving and PDF download do not require signup. The invoice action opens Invoice mode with the Minimal template. Optional account and sharing features have separate data handling.

How do I invoice hourly work and a fixed project on one document?

Use separate line items: enter the hours and hourly rate for time-based work, then quantity 1 and the agreed project price for the fixed fee. Describe the deliverables and work period. Confirm that combining them matches your agreement and applicable invoicing rules.

Does changing the invoice currency convert my prices?

No. The display-currency setting changes symbols and number formatting, not the amounts entered. Agree the currency and prices with the client, then review local tax-currency requirements and settlement fees separately.

Can I apply a different tax rate to each service?

The general editor has one document-level Tax adjustment, not per-line tax rates. A percentage applies to the subtotal before the separate order discount. It does not determine registration, taxability or the correct rate; review the required tax document before issue.

How do I show a partial payment on a freelance invoice?

Record the money actually received against the issued invoice. The full sales total stays unchanged and the remaining balance decreases. Verify payment evidence yourself; a payment link or QR code does not confirm a receipt. Advance payments may have different tax-document requirements.

Which payment terms should I use?

Use the terms agreed with your client and check any applicable legal requirements. State an exact calendar due date and payment instructions. The example’s 14-day period is illustrative, not a universal deadline. Apply late fees or interest only after checking your agreement and applicable law.

Will Invoodle send my invoice or chase overdue payments?

The guest PDF workflow lets you download the document and send it yourself. It does not automatically collect money, reconcile bank receipts or email payment reminders. Review the recipient and payment details before sharing.

Can I reuse an invoice, and how should I keep records?

You can duplicate a saved document, then review its client, reference, dates, items, currency and payment details before issue. Keep an independent PDF backup and supporting records. Browser storage can be cleared or unavailable on another device; check the retention rules that apply to your business.
