Worked example: an incorrect row amount
The fictional example has 2 units of design work at $250.00 per unit, in US dollars. Its stored row amount is $250.00. Multiplying the entered quantity by the rate gives $500.00.
| Quantity | Rate (USD) | Stored amount (USD) | Quantity × rate (USD) |
|---|---|---|---|
| 2 | $250.00 | $250.00 | $500.00 |
Recalculating the example changes its document total from $250.00 to $500.00. It uses the entered quantities and rates; it does not decide whether those prices are correct.
There is also a date problem: its due date is , before the issue date of . Recalculating item amounts leaves that date for you to review.
Try the example using the controls aboveWhat the invoice checker looks for
| Area | What it can flag | What you still confirm |
|---|---|---|
| Names and document details | Missing business or customer names, a missing number and basic contact details to review. | Whether the names, addresses and references are correct for the job. |
| Dates | Invalid calendar dates, a due date before the issue date and a future issue date to review. | The payment deadline and date-counting method agreed with your customer. |
| Item arithmetic | Stored row amounts that differ from quantity × rate, plus missing descriptions or invalid quantities. | Whether the quantity, rate and scope are the ones you intended to bill. |
| Duplicate document numbers | A matching number in readable documents saved in this browser for the same business and document type. | Numbers in other browsers, devices or external accounting records. |
| Charges and recorded payments | Invalid charge values, unsupported currency selections, excessive recorded payments and some payment-setup conflicts. | Applicable tax treatment, bank ownership, payment-link destination and whether money actually arrived. |
Duplicate invoice numbers have a local scope
A number such as “INV-007” can match “inv - 007” because the comparison ignores spaces and letter case. It compares the same business name and document type, excludes a saved document from matching itself, and uses only documents readable in this browser. A clear result does not rule out a duplicate elsewhere.
How to review an invoice before sending it
- Open the intended Invoodle document in the editor. Confirm it is the invoice, quote or receipt you want to review.
- Run Invoice Check. Read each finding rather than relying only on the issue count.
- Review the suggested fields in the editor. If item amounts are inconsistent, check the quantity and rate before confirming a recalculation.
- Run the check again, then review the job scope, customer details, tax treatment and payment instructions yourself.
- Save your reviewed document and export an updated PDF. Create a fresh shared snapshot if you want to share the revised version.
“Correct” marks a problem found by a rule. “Review” asks you to confirm a detail in context. A report with no findings is not a tax, legal or payment certificate.
For date arithmetic, use the invoice due date calculator. For worked job breakdowns, see the photography invoice example or catering invoice example.
Invoice checker questions
Can I check an invoice PDF or photo?
This version checks Invoodle drafts. It does not accept PDF, scanned-image or photo uploads. Create a draft in the editor, or open a saved Invoodle document there, before running the check.
How does the duplicate invoice number check work?
It compares readable documents saved in this browser for the same business name and document type. Spaces and letter case in document numbers are ignored. The saved record being checked is excluded from its own comparison. It does not search other devices or accounting systems.
Does checking a draft change it?
Running a check does not apply corrections. The page links you to the editor to review actual draft fields. A recalculation in the editor requires confirmation and changes stored item amounts; saved documents change only when you save. Trying and fixing the example changes only its preview.
What is the difference between Correct and Review?
Correct marks a problem found by a rule, such as a missing name or inconsistent item amount. Review asks you to confirm a detail, such as a future issue date or incomplete payment setup. Neither label determines whether a document is legally valid.
Does a clear report mean my tax invoice is compliant?
No. A clear report means that none of these checks found an issue. It does not certify tax rates, required legal wording, the work delivered, bank ownership or payment receipt. Review the transaction and the requirements that apply to it.
Can I check a quote or receipt too?
The checker uses the document type stored in the current Invoodle draft. General field, number and arithmetic checks apply, while invoice payment and due-date rules are applied where relevant. It does not convert one document type into another.
