Use the visits, scope, prices and payment terms you agreed. This general invoice editor does not track staff time, verify completed cleans, schedule recurring invoices or collect recurring payments. Review any existing draft before issuing.

Opens Invoice mode with the Modern style. Neither example is loaded; review any existing draft before adding the service details.

Show the visits and scope covered by this bill

An hourly team clean and a fixed monthly service package use different quantities. Follow the charging basis in the agreement, identify the site with the detail needed for billing, and check that included visits or supplies are not charged again.

Cleaning invoice checklist

  • Your business details, the correct billing customer, a checked invoice number, issue date and agreed payment due date.
  • A suitable property/site or booking reference, completed visit dates and the service period covered.
  • The agreed scope and charging basis: per cleaner-hour, per team-hour, per visit or one fixed package.
  • Approved additional services with their own scope and price where separately billable.
  • Supplies or equipment charges only where agreed, checking what is already included and previously invoiced.
  • Reviewed local tax particulars, agreed currency, full invoice total, actual money received and remaining balance.

Use Notes for a suitable site reference, completed dates, package scope and approval references. Confirm the billing contact, especially where an agent or property manager is involved. Keep access and key instructions in the agreed service communication.

Cleaning invoice examples: a team visit and a monthly package

These independent fictional USD invoices cover separate sites and completed work. Prices illustrate arithmetic, not market rates or recommended terms. No tax, withholding, cancellation fee or advance-payment tax treatment is modelled; this does not establish an exemption.

Fictional agreement EX-CLEAN-002, site EX-SITE-002. Service period: 1–30 September 2026. Four agreed visits completed on 3, 10, 17 and 24 September. The fixed USD 320 package includes routine supplies; visits and those supplies are not billed again. This invoice does not schedule or renew future services.

Team visit: 2 cleaners × 3 hours × USD 25 = USD 150; add the agreed USD 40 oven service and USD 10 supplies for USD 200. USD 50 received after issue leaves USD 150. The separate completed monthly package totals USD 320, with routine supplies included and no payment received. Both show an illustrative agreed 14-day payment period, not a statutory default; check real invoice-issue timing separately.

Match the quantity to the agreed rate

For the team visit above, the price is per cleaner-hour: two people for three hours each make six labour-hours. If the agreement instead gives one hourly price for the whole team, enter the three team-hours at that team rate. For a fixed job or monthly package, quantity 1 can describe the complete agreed scope.

Check what is included before adding extras

In the one-off example, the oven service and supplies are separately agreed charges. In the monthly package, routine supplies and four visits are already included. Add an extra only if it falls outside the included scope and has an agreed charging basis. Keep completion records and any approval for additional work alongside the invoice.

An invoice does not create a re-clean guarantee, cancellation policy or end-of-tenancy acceptance promise. Review the service terms agreed for the job before describing any guarantee or charging for a missed appointment. The editor does not inspect a property, approve the clean or decide whether an extra is payable.

Record actual payments and the remaining balance

In Payments & QR, enter cumulative money actually received against this invoice. If another USD 50 arrives after the visit example’s USD 50 payment, enter USD 100 received. The full invoice stays $200.00 and the balance becomes $100.00. The payment is not a discount or a negative cleaning charge.

Use the due date and payment terms agreed with the customer. This page supplies no default seven-day, due-on-receipt or Net 30 policy. The examples record completed work and payments received after issue; review real advances and their documentation separately. Payment entries do not verify transfers or collect money. Download an updated PDF or create a new shared snapshot after recording payment.

Prepare the next period as a new draft

Duplicate a saved invoice for the next bill, then review its new document number, customer, site, completed dates, scope and quantities. The duplicate starts as a new draft with recorded receipts reset and the previous due date cleared. Enter the new agreed due date and review prices before issuing. The editor does not track visits, schedule recurring invoices or automatically charge subscriptions.

Review tax and supplies for the actual job

Check the jurisdiction, registration, services and supplied goods rather than assuming every cleaning charge has the same treatment. A separate supplies line or an at-cost label does not by itself establish a tax-free disbursement. The linked HMRC guidance covers UK costs and disbursements; it does not determine these fictional USD examples or provide a worldwide cleaning-tax rule.

The general editor has one document-level Tax adjustment, not per-line tax classification or an exemption check. A percentage applies to subtotal before the separate order discount. Use a suitable reviewed workflow if the job requires different tax treatments or additional invoice particulars.

Create the cleaning invoice PDF

  1. Open Invoice mode with the Modern style. Existing items, notes and terms are not cleared, and neither public example is imported.
  2. Check your business, billing customer, site/booking reference, invoice number, issue date and agreed Payment Due date.
  3. Choose the agreed currency and add completed visits or the package covered now. Changing display currency does not convert prices.
  4. Review labour units, included scope, approved extras, earlier billing and local tax particulars. Put supporting references in Notes.
  5. Record actual payments, check the total and balance, then download the PDF and use your agreed billing submission process.

Guest documents stay in this browser and do not automatically sync across devices. Keep a PDF or independent backup and review the storage and sharing explanation.

Cleaning invoice questions

How do I write a cleaning invoice?

Identify the billing customer, site or booking reference, completed visit dates and the work covered. Use the agreed hourly, visit or package basis, and add separately billable extras only once. Check the invoice number, dates, local tax particulars, actual payments and balance before downloading the PDF.

How do I invoice a cleaning team by the hour?

Check whether the rate is per cleaner or for the whole team. In the fictional per-cleaner example, two cleaners working three hours each make six labour-hours at USD 25, or USD 150. For a whole-team hourly rate, use the agreed team-hours instead. The editor multiplies the quantity and rate you enter; it does not track attendance or time.

Can I invoice a monthly cleaning package or reuse an invoice?

You can describe the agreed period, included visits and scope as a fixed package, checking earlier billing. Duplicate a saved invoice as a new draft, then review its new number, service dates, quantities, due date and payment details. Duplication resets recorded receipts and clears the old due date. It does not schedule visits, issue recurring invoices or collect subscriptions automatically.

Should extras and supplies always be separate charges?

Only when the agreement makes them separately billable. If oven cleaning, consumables or equipment are included in a visit or package, do not charge them again. Describe approved extras clearly. This page supplies no automatic at-cost policy, cancellation charge, re-clean guarantee or end-of-tenancy acceptance promise.

What payment terms and partial-payment amount should I use?

Use the due date and terms agreed for the job; this page recommends no universal seven-day or Net 30 rule. Record cumulative money actually received in Payments & QR. The fictional USD 200 visit invoice with USD 50 received after issue has USD 150 remaining. The receipt is not a discount, and recording it does not verify a bank transfer.

Does the generator decide tax on cleaning and supplies?

No. Review the jurisdiction, registration, actual services and supplied goods separately. The general editor has one document-level Tax adjustment, not per-line tax classification or an exemption check. The linked HMRC costs/disbursements guidance is UK-specific. A separate supply line or at-cost label does not by itself establish tax-free treatment.

Is the cleaning invoice PDF free, and will an example replace my draft?

Guest creation, browser-local saving and PDF download do not require signup. Public examples do not read a private draft. Editor actions select Invoice mode and Modern style without importing an example or clearing existing items, notes or terms. Review any existing draft and keep a PDF or independent backup.
