Consultant invoice generator for hourly and retainer work

Show your client which engagement, service period and work the invoice covers. List the agreed hours, package or milestone, add any approved charges, and make the total and remaining balance easy to check.

By Invoodle · Updated · UK and US references reviewed October 2026

Create a general invoice for the consulting work and charges you agreed. Retainer tracking, recurring billing, timesheet approval and expense-tax classification are separate tasks. Review the currency, required particulars and any existing draft before issuing.

Opens Invoice mode with the Consulting style. Neither example is loaded; review any existing draft before adding the engagement details.

Make the engagement and service period clear

An advisory call, monthly support package and fixed deliverable can need different descriptions. Start with the billing basis in your agreement, then connect each charge to the work and approval record instead of using a vague “consulting services” total.

Consulting invoice checklist

  • Your business identity and contact details, the client billing entity and address, and a checked invoice number.
  • Issue date and service or work period, plus the engagement name and agreed deliverable where relevant.
  • Purchase-order, contract or approval reference if one was issued; confirm where the client wants it shown.
  • Hours or days and the agreed rate, or quantity 1 for the defined retainer package or milestone.
  • Approved expenses and work outside a package identified separately, with supporting records kept alongside the agreement.
  • Applicable tax particulars, agreed currency and payment date, full invoice total, actual money received and remaining balance.

Use Notes for engagement, PO, service-period and approval references. These are text entries, not dedicated validation fields. This checklist helps explain the charges; required invoice particulars and tax treatment depend on the business and transaction.

Consultant invoice examples: hourly work and a monthly retainer

These are two separate fictional engagements in USD, with illustrative prices. They are alternatives for comparison, not charges to combine for the same work. No tax, withholding or advance-payment tax treatment is modelled; no exemption or market rate is established.

Engagement: Example Support Agreement. Service period: 1–30 September 2026. The fictional monthly package includes four advisory hours. Only the additional two hours approved under EX-CHANGE-002 are billed again. Unused-time and renewal terms remain in the separate agreement.

Hourly example: USD 1,000 advisory time + USD 80 agreed travel = USD 1,080; USD 300 received leaves USD 780. Retainer example: USD 1,500 package + USD 250 separately approved extra time = USD 1,750. The package’s included hours are not billed again. Both examples use an illustrative agreed 14-day payment period, not a statutory default.

Choose the line-item structure in your agreement

Use the service period and pricing basis your client agreed to. An hourly line needs hours and a rate; a defined milestone can use quantity 1 and its agreed fee. Describe what is covered so a package, milestone and time charge do not quietly overlap.

A retainer description is not recurring billing

Name the covered period and included scope, and refer to the agreement for usage, rollover and renewal terms. Keep usage records separately. Invoodle does not track remaining retainer hours, renew contracts, generate scheduled invoices or charge a stored payment method. Duplicating a saved invoice still needs a review of period, items, references and actual payments.

Keep PO and milestone approvals with your records

If the client issued a PO or requires a billing portal, confirm the reference and submission steps with them. Put the reference in Notes and retain the supporting agreement. The editor does not validate a PO, approve deliverables or submit invoices into a client procurement system, and a clear description cannot guarantee a payment date.

Expenses and payments need different treatment

Describe the expense charging basis

For an agreed charge, identify the purpose, date or expense reference and amount. Check whether the agreement uses actual cost, a fixed allowance or another approved basis; this page does not choose a markup policy. Keep supporting evidence separately and avoid copying sensitive receipt details into a public share link.

A separate expense line or an at-cost recharge alone does not decide tax treatment. HMRC distinguishes costs recharged to a customer from qualifying disbursements for UK VAT purposes. That is a UK example, not a worldwide exemption. The general editor has one document-level Tax adjustment; it does not classify individual expense lines or calculate mixed tax rates.

Record cumulative money received

Keep the full consulting charges in the items. In Payments & QR, enter the total actually received against the invoice. If another USD 200 arrives after the hourly example’s USD 300 payment, enter USD 500 received: the full invoice remains $1,080.00 and the balance becomes $580.00.

These are manual records, not bank verification or collection. Review any advance-payment document and tax timing separately. After updating a payment, download a new PDF or create a new shared snapshot; an earlier snapshot does not update itself.

Create your consulting invoice PDF

  1. Open Invoice mode with the Consulting style. Existing items, notes and terms are not cleared, and neither public example is imported.
  2. Review your business/client details, invoice number, issue date, service period and agreed Payment Due date. Add the engagement and any issued PO reference in Notes.
  3. Choose the agreed currency, then enter the hours, days, package or milestone and approved extra charges. Changing display currency does not convert prices.
  4. Check the applicable tax particulars and treatment. A general Tax percentage applies to subtotal before the separate order discount; the editor does not determine registration, per-line tax treatment or required foreign-currency tax presentation.
  5. Record actual payments received, check the total and balance, then preview and download the PDF. Send it with your own message or required client submission process and keep a copy.

The PDF uses the shared document layout with the chosen style’s accent. Guest documents stay in this browser; they do not automatically sync across devices. Keep downloaded copies or an independent backup, and read the storage and sharing explanation.

Consultant invoice questions

How do I invoice consulting hours or day-rate work?

Use the approved hours or days as the quantity and the agreed hourly or daily rate as the price per unit. Describe the engagement and work period, and keep supporting time records separately. For a day rate, confirm the day length and included work in the agreement; the editor does not approve timesheets.

How do I write a monthly consulting retainer invoice?

Use quantity 1 for the agreed package price and state the service period and included scope. Add only separately approved work outside the package, so included hours are not charged twice. Invoodle does not track retainer usage, roll over hours, renew agreements, create recurring invoices or collect subscription payments automatically.

Can I bill a fixed milestone or approved extra work?

Use a clear deliverable or milestone reference with the agreed fee, and check earlier invoices before billing it. Identify extra work and its approval separately. The editor records the items you enter; it does not verify completion, approve a scope change or decide whether a fee is payable.

Can I add expenses, and are they automatically tax-free?

You can add an agreed charge as a separate line with its reference. The app does not decide whether an expense is reimbursable, what markup was agreed or whether it is a qualifying disbursement. A separate line or an at-cost charge alone does not establish tax treatment; HMRC is linked for a UK VAT example. The editor has one document-level Tax adjustment, not per-line tax classification.

Where do I put a purchase-order number on a consulting invoice?

Put the issued PO or contract reference in Notes and confirm the client’s required placement or submission process. The editor has no dedicated PO validation or procurement-portal workflow. A reference can help match the invoice to the agreement, but this page does not promise approval or a particular payment speed.

How do I show a partial payment without reducing consulting revenue?

Keep the full agreed charges in the items and enter the cumulative amount actually received in Payments & QR. The fictional hourly example totals USD 1,080; USD 300 received leaves USD 780. A further USD 200 would make total receipts USD 500 and the remaining balance USD 580. Recording a payment does not verify or collect it.

Is the consultant invoice PDF free, and does the example replace my draft?

Guest creation, browser-local saving and PDF download do not require an account. The page’s examples are read-only and do not access your draft. Editor actions select Invoice mode and the Consulting style without importing an example or clearing existing items, notes or terms. Review the draft and keep a separate PDF or backup before clearing browser data.
