Contractor invoice generator for labour and materials
Make the work easy for your client to check. Show the labour, materials and approved extras for one job, add its site reference, then review the total and any money already received.
By Invoodle · Updated · UK and US references reviewed October 2026
Use this general invoice editor for agreed labour, materials and job charges. It has no dedicated retention ledger, cumulative payment certificate, CIS deduction calculation or construction reverse-charge workflow. Check the required document before issue.
Selects Invoice mode and the Construction style. This page’s example is not loaded; review any existing draft before adding this job’s details.
Connect the bill to the agreed job
A useful contractor invoice connects the bill to the agreement: which property, which work period, which quantities and which approved changes. Describe the package you are billing now and keep the quote, time records and variation approvals alongside it.
Contractor invoice checklist
- Your business identity and contact details, the customer billing entity and address, and a checked invoice number.
- Issue date, work or supply period, job/site reference and any purchase-order or approval reference.
- Labour hours or the agreed job price, with quantities, units and rates that match your work records.
- Materials described by what was supplied and the agreed charging basis, without duplicating included package costs.
- Approved extra work identified by its variation or change-order reference and the scope being billed.
- Applicable tax particulars, full invoice total, actual payments received, remaining balance and agreed payment due date.
This is a practical checklist, not a universal legal specification. Local requirements, contract documents and any tax or withholding workflow need their own review. Job references, work periods and variation details can go in Notes; there are no dedicated approval or certification fields.
Contractor invoice example: a completed repair job
A fictional repair job includes 16 hours of labour, six material packs and one approved extra task. The invoice was issued for the full completed package, then USD 300 was received. This is one invoice, not a cumulative valuation or payment certificate.
Example Repair Services (fictional)
- Customer
- Example Property Client (fictional)
- Invoice number
- EXAMPLE-CON-001
- Issued
- Agreed due date
| Work or material | Quantity | Rate (USD) | Amount (USD) |
|---|---|---|---|
| Repair labour — agreed work package | 16 hours | $45.00 | $720.00 |
| Materials — supplied repair packs | 6 packs | $35.00 | $210.00 |
| Approved additional work — variation V-01 | 1 job | $120.00 | $120.00 |
| Items subtotal | $1,050.00 | ||
| Tax in this example | $0.00 | ||
| Invoice total | $1,050.00 | ||
| Payment received after issue | $300.00 | ||
| Remaining balance | $750.00 | ||
Job/site reference: EXAMPLE-SITE-01. Work period: 19–20 October 2026. This invoice covers the completed repair package and approved variation V-01 only. Keep the approval and work record separately.
USD 720 labour + USD 210 materials + USD 120 approved extra work = USD 1,050. After USD 300 received, USD 750 remains. No tax, withholding or retention is modelled; that does not establish an exemption or the correct tax treatment. The example’s 14-day payment period is an illustration of agreed dates, not a statutory default.
Describe labour, materials and approved extra work
Use the charging basis in your agreement. A fixed package can be one item; a time-based job can show hours and rates. Add only approved extras outside the original package and check earlier invoices to avoid billing the same work twice.
| Charge | One way to enter it | What to check |
|---|---|---|
| Hourly labour | Hours × agreed hourly rate | Work period and supporting time record |
| Fixed work package | Quantity 1 × agreed package price | Included labour/materials and the package reference |
| Materials supplied | Supplied quantity × agreed price per unit | Description, units and whether already included in a package |
| Approved variation | Quantity 1 × approved change price, or agreed units | Approval reference, scope and earlier billing |
| Equipment hire or delivery | Agreed days or one fixed charge | Hire period, approval and no duplicate charge elsewhere |
Keep the job address or site identifier, work period and approved quote/variation reference in Notes. Keep supporting approvals and time or delivery records outside the app. Writing an approval reference on an invoice does not create an approval.
Keep payments, retention and price adjustments distinct
Record only money actually received
In Payments & QR, enter the cumulative amount received against the invoice, rather than only the latest payment. If another USD 150 is received in the example, update the received total to USD 450; the invoice stays $1,050.00 and the balance becomes $600.00. Recording this figure does not verify a transfer or collect money.
A holdback needs its own reviewed workflow
There is no retention ledger or automatic release calculation in this editor. Do not enter an unpaid holdback as a payment received, and do not use an ordinary discount as a substitute for retention accounting. Check the contract and required document particulars; use a suitable workflow if retention needs separate calculation or presentation.
Check prior billing before a progress claim
You can describe an agreed work package on an invoice. The app does not maintain a cumulative schedule of values, approved valuations, previous payment applications, certified work or retention releases. It does not issue a payment certificate or establish entitlement to a construction payment.
Keep deposits or advance-payment documents appropriate to the transaction and jurisdiction. The example records a payment after issue; it is not an advance-payment tax-document model. After changing a payment record, download an updated PDF or create a new shared snapshot; earlier snapshots do not update automatically.
Create a contractor invoice PDF
- Open Invoice mode with the Construction style. It uses the shared document workflow; it is not a dedicated construction accounting system. Existing items, notes and terms are not cleared and this page’s example is not imported.
- Choose the agreed currency and review business/client details, invoice number, issue date and Payment Due date. A currency change does not convert existing prices.
- Add the labour, materials and approved extra-work rows for the job. Record its site, period and approval references in Notes.
- Review applicable tax separately. The general Tax adjustment is document-level; it does not apply different rates per item or calculate CIS, retention or construction reverse charge. A percentage applies to subtotal before the separate order discount.
- Record actual money received, check the total and balance, then preview and download the PDF. Send it using your own message and keep an independent copy with supporting records.
The PDF uses the shared document layout with the selected style’s accent, rather than a separate retention or payment-application form. Guest drafts stay in this browser; clearing storage or changing devices can make them unavailable. Review the storage and sharing explanation.
References for local invoice and tax checks
GOV.UK describes UK invoice particulars. HMRC’s CIS and construction VAT guidance cover separate UK workflows that this editor does not implement. IRS guidance provides US recordkeeping context. These references do not certify this general example or replace review of your location, contract and transaction.
Contractor invoice questions
How do I write a contractor invoice for labour and materials?
Use separate items where the agreement prices them separately: hours and hourly rate for labour, then supplied quantities and agreed unit prices for materials. For a fixed package, use quantity 1 and describe what is included so labour or materials are not billed twice. Add the job reference and work period in Notes.
Can I include approved additional work?
Yes. Add an item for the agreed variation or change order, identify its approval reference and describe what this invoice covers. Check earlier invoices and the approved scope before adding the charge. The editor does not approve a variation or validate your entitlement to bill it.
How do I record a partial payment on a contractor invoice?
Enter only money actually received in the cumulative amount received field. The sale total stays unchanged and the balance reduces. In the fictional example, a USD 1,050 invoice with USD 300 received has USD 750 remaining. A withheld amount is not money received, and recording a payment does not verify a bank transfer.
Does this generator calculate construction retention?
No. There is no dedicated retention schedule or release ledger. Do not record an unpaid holdback as money received, or use an ordinary discount as a substitute for a retention accounting workflow. Check the contract and applicable requirements, and use a suitable workflow if separate retention particulars or calculations are needed.
Can I use it for progress invoices or payment applications?
You can describe an agreed work package on an invoice and check it against prior billing. The editor does not track cumulative valuations, certified work, previous applications, retention releases or a schedule of values. It is not a construction payment application or certification system; use the document workflow required for your project.
Can it calculate CIS deductions or different taxes on labour and materials?
The general editor has one document-level Tax adjustment. It does not calculate CIS withholding, apply different per-line tax rates or provide a construction reverse-charge workflow. Tax and withholding requirements need separate review; the linked HMRC guidance is scoped to the United Kingdom, not a worldwide rule.
Is the contractor invoice PDF free, and will my existing draft be replaced?
Guest creation, browser-local saving and PDF download do not require an account. This page shows a fictional example without reading your draft. Its editor actions select Invoice mode and the Construction style; they do not load the example or clear existing items, notes or terms. Review any existing draft before editing and keep a separate PDF or backup.
