Interior design invoice generator for fees and furnishings

Show your client which design work or furnishings the bill covers. Name the project and phase, separate agreed extras, and record actual payments so the full price and remaining balance are clear.

Use the project scope and prices you agreed. This general invoice editor does not approve stages, reconcile a project budget, place supplier orders or calculate percentage fees on selected items. Review tax requirements and any existing draft before issuing.

Opens Invoice mode with the Modern style. Neither example is loaded; review any existing draft before adding project details.

Make the project phase and scope clear

Concept drawings, site coordination and furniture supply can have different charging bases. Describe the scope covered now, connect it to the agreement, and check earlier invoices before billing a phase or procurement item.

Interior design invoice checklist

  • Your business and customer billing details, a checked invoice number, issue date and agreed payment due date.
  • A suitable project/property reference, the phase or service period and any approved scope or drawing-schedule reference.
  • Agreed quantities and rates for fixed phases, measured work, coordination time or other separately priced services.
  • Approved additional revisions identified by change reference, excluding work already included in the phase price.
  • Supplied furnishing quantities and agreed prices, with a separately agreed procurement or coordination fee where applicable.
  • Reviewed local tax particulars, agreed currency, full invoice total, cumulative money actually received and remaining balance.

Use Notes for the project, phase, scope version and approval references. You can name a drawing schedule or moodboard reference, but the editor does not attach those files to the invoice or deliver them automatically. Send supporting documents separately through the agreed process. Keep access codes and unnecessary private property details out of notes and shared links.

Interior design invoice examples: a phase and a furnishing supply

These independent fictional USD invoices cover separate projects. Prices and percentages illustrate arithmetic, not market benchmarks or recommended fees. No tax, withholding or advance-payment tax treatment is modelled; this does not establish an exemption.

Fictional project EX-ROOM-002. Furniture supplied on 19 October 2026 under approved schedule EX-FURN-002. Agreed goods prices total USD 1,000; the separately agreed coordination fee is 10% of that base, USD 100. This example does not establish an at-cost, agency or tax-free disbursement arrangement. These charges are separate from the other example.

Design phase: USD 1,200 + 3 × USD 80 coordination + 2 × USD 75 approved extra revisions = USD 1,590. USD 500 received after issue leaves USD 1,090. Furnishings: 4 × USD 150 chairs + USD 400 table = USD 1,000; the separately agreed 10% coordination fee adds USD 100, for USD 1,100 total. Both use an illustrative agreed 14-day payment period, not a statutory default.

Use the fee basis in the agreement

A fixed phase can use quantity 1. Hourly coordination needs the agreed hours and rate. For an area-based price, check the measurement and name the unit; square feet and square metres are not interchangeable. Do not charge included drawings, visits or revisions again as extras.

Calculate a percentage fee against its agreed base

In the furnishing example, the approved goods base is USD 1,000. The explicitly agreed 10% fee is USD 100, entered as quantity 1 at USD 100. It is not 10% of the USD 1,100 invoice total. If goods, exclusions or scope change, recalculate and review the fee yourself; the editor does not link that fee item to other lines or fetch a project budget.

For staged billing, confirm which amount is covered now and check prior invoices and payments. The app does not maintain a schedule of values, reconcile the total contract price, approve a stage or certify site work. Keep the agreement, approved changes and supporting records alongside your billing records.

Record payments without discounting the design fee

In Payments & QR, enter the cumulative money actually received against this invoice. If another USD 250 arrives after the design example’s USD 500 payment, enter USD 750 received. The full invoice stays $1,590.00 and the balance becomes $840.00. Recording the payment as a discount would reduce the sale instead.

The example records money received after issue, not an advance-invoice tax workflow. Review real advance documentation and tax timing separately, and do not count the same payment on multiple invoices. An unpaid retention, withholding or disputed amount is not money received. Payments are manual records, not bank verification or collection; download an updated PDF or share a new snapshot after changes.

Separate procurement pricing from tax treatment

Confirm whether the client buys directly, you supply the goods, or you act under another agreed arrangement. Describe supplied items and separately agreed fees without assuming that every purchase is passed on at cost. A separate line, an at-cost label or a procurement fee does not by itself establish a tax-free disbursement. The linked HMRC guidance discusses UK conditions; it is not an Indian GST rule or a determination for these fictional USD examples.

Review the actual supplies, parties and jurisdiction. The general editor does not determine HSN/SAC classifications, mixed-supply treatment or procurement tax status. It has one document-level Tax adjustment, not per-line classification. A percentage applies to subtotal before the separate order discount. Use a suitable reviewed workflow where different treatments or additional particulars are required.

Create the interior design invoice PDF

  1. Open Invoice mode with the Modern style. Existing items, notes and terms are not cleared, and neither example is imported.
  2. Check business/client details, invoice number, issue date, covered phase or supply period and agreed Payment Due date.
  3. Choose the agreed currency, then add the work or supplied goods and approved extras. Changing display currency does not convert prices.
  4. Review separately calculated fees, prior billing and local invoice/tax particulars. Put scope and schedule references in Notes.
  5. Record actual payments, check the total and balance, and download the PDF for the agreed submission process. Send supporting drawings or schedules separately.

Guest documents stay in this browser and do not automatically sync across devices. Keep a PDF or independent backup and review the storage and sharing explanation.

Interior design invoice questions

How do I invoice an interior design phase?

Name the project, phase, covered deliverables and scope version. For a fixed phase, use quantity 1 and the agreed fee; for measured or hourly work, use the agreed quantity, unit and rate. Add approval and drawing-schedule references in Notes, then check earlier billing so the same work is not charged twice.

Can I calculate a percentage-based design or coordination fee?

Review the agreed base, exclusions, percentage and phase allocation separately, then enter the calculated fee as a quantity-1 item. The example uses a USD 1,000 goods base and an explicitly agreed 10% coordination fee of USD 100. This is not a recommended percentage, and the app does not automatically select a fee base or recalculate that item when other prices change.

Should procurement be at cost, marked up or billed as a separate fee?

Use the actual agreement and your role in the supply; this page recommends no universal pricing policy. Identify supplied goods and separately agreed fees, checking whether costs are included or already billed. An at-cost label or separate line does not by itself establish a tax-free disbursement. Review supplier/client roles and applicable tax requirements.

How do I record an advance or partial payment?

Keep the full charges on the relevant invoice and record cumulative money actually received in Payments & QR. The fictional USD 1,590 phase invoice has USD 500 received after issue and USD 1,090 remaining. Do not turn that receipt into a discount or count it again on another invoice. Review real advance documentation and tax timing separately; this example is not an advance-invoice workflow.

Can I charge for extra revision rounds or site visits?

Describe only separately agreed work outside the included scope, with the approved hours, visit count or change fee and reference. The editor does not track included rounds, approve changes, certify completion or establish a right to charge. Keep the supporting agreement and records separately.

Can the editor classify goods and services for GST or apply different line taxes?

The general editor does not determine HSN/SAC classification, mixed-supply treatment or procurement tax status. It has one document-level Tax adjustment, not per-line tax classification. Review the jurisdiction and actual supplies and use a suitable workflow for split treatments or additional statutory particulars. The linked HMRC disbursement guidance is UK-specific, not an Indian GST rule.

Is the PDF free, and will the examples replace my project draft?

Guest creation, browser-local saving and PDF download do not require signup. Public examples do not read a private draft. Editor actions select Invoice mode and Modern style without importing an example or clearing existing items, notes or terms. Review any existing draft and keep an independent PDF or backup.
