Bill the freight and extra services you agreed. This general invoice editor does not validate shipments, calculate billable detention, issue consignment notes or e-way bills, or decide reverse-charge treatment. Review any existing draft before issuing.

Opens Invoice mode with the Modern style. Neither public example is loaded; review any existing draft before adding the trip details.

Connect the invoice to the journey

A single delivery and a weekly list of completed trips need different levels of detail. Use the charging basis agreed with the billing customer, and keep trip records, approvals and delivery evidence alongside the invoice.

Transport invoice checklist

  • Your business details, the customer responsible for the bill, a checked invoice number, issue date and agreed payment due date.
  • Trip dates, origin and destination, booking or consignment references, and suitable vehicle or load references where needed.
  • The agreed freight basis: one trip, a measured weight or distance, or another clearly described unit.
  • Separately approved loading, waiting, extra-stop, toll or surcharge amounts, without duplicating included charges.
  • References to supporting time logs, approvals and delivery records, kept separately from the invoice.
  • Reviewed local invoice and tax particulars, agreed currency, full total, actual money received and remaining balance.

Use item descriptions for trip-level details and Notes for shared booking or supporting-document references. Include only the load, vehicle and contact detail needed for billing. Do not put access codes, driver identity documents or sensitive cargo-security instructions in invoice notes or shared links.

Freight invoice examples: one trip or several

These independent fictional USD invoices illustrate two billing arrangements. Prices and waiting allowances are not industry benchmarks or recommended terms. No tax, withholding or advance-payment tax treatment is modelled; this does not establish an exemption.

Fictional agreement EX-ROUTE-002 permits these two trips to be billed together. Each fixed trip price includes the agreed loading and toll costs; those costs are not added again. No waiting charge or fuel surcharge is included. Check earlier invoices and supporting records before billing real trips.

Single trip: USD 450 freight + USD 40 loading + 2 × USD 25 waiting + USD 20 toll charge = USD 560. USD 200 received after issue leaves USD 360. Separate multi-trip invoice: USD 300 + USD 380 = USD 680, with no payment received. Both use an illustrative agreed 14-day payment period, not a statutory default.

Make the charging basis explicit

A fixed trip can use quantity 1. Weight, distance and time charges need the units and measurements in the agreement. If a combined unit such as tonne-kilometres is used, calculate the agreed billable quantity from your records before entering it; the editor does not measure routes or weigh loads.

Freight, waiting and surcharge billing descriptions
ChargeOne way to enter itWhat to check
Fixed trip freightQuantity 1 × agreed trip priceDate, route, booking reference and included services
Weight or distance basisAgreed measured quantity × price per unitUnit definition, evidence and whether a minimum charge applies
Loading or unloadingAgreed units or one fixed chargeApproval and whether included in freight already
Waiting or detentionApproved billable hours × agreed hourly rateArrival/release record, free allowance and rounding agreement
Tolls or extra stopsA separately agreed charge or stop countEvidence, approval and no duplicate billing
Fuel surchargeA reviewed amount entered as a separate itemAgreed base, period and calculation; no live index lookup

Check waiting time and extras against the agreement

In the single-trip example, 09:00 to 12:00 is three hours on site. Subtracting the agreed one-hour allowance leaves two approved billable hours. The app does not calculate detention from timestamps, apply free periods or decide rounding. Keep the supporting record and review entitlement before adding a real charge.

Only add loading, tolls, stops or a fuel surcharge when separately agreed. A toll is not automatically an at-cost recharge, tax-exempt amount or qualifying disbursement. If a fuel adjustment applies, check its base, percentage, period and rounding separately, then enter the reviewed amount as an item. The document-level Shipping adjustment is not a fuel-index calculator.

Keep the full freight price and record actual payments

In Payments & QR, enter cumulative money actually received against this invoice. If another USD 100 arrives after the single-trip example’s USD 200 payment, enter USD 300 received. The full invoice remains $560.00 and the balance becomes $260.00. A payment is not a discount or a negative freight item.

An unpaid deduction, disputed charge or withholding is not money received. Review the supporting records and use the appropriate accounting or adjustment workflow. The editor does not verify bank transfers, resolve freight claims or collect payment. Download an updated PDF or create a new shared snapshot after recording a payment.

Keep shipment documents and tax checks separate

An invoice can reference an issued LR or consignment note, delivery record or other required shipment document. Adding a reference does not issue that document or prove delivery. Invoodle does not generate e-way bills, validate consignment notes, certify receipt, track vehicles or submit permits and customs documents.

Review tax using the relevant jurisdiction, service, parties, registration and route. Do not assume every freight charge has the same tax treatment. The UK HMRC freight notice covers its own VAT scope; it is not an India GST rule or a determination for these fictional USD examples. This general editor has one document-level Tax adjustment, not per-line classification or a dedicated India GTA reverse-charge workflow. A percentage applies to subtotal before the separate order discount. Where additional particulars, split taxes or specialist documents are required, use a suitable reviewed workflow.

Create the transport invoice PDF

  1. Open Invoice mode with the Modern style. Existing items, notes and terms are not cleared, and neither example is imported.
  2. Confirm your business, billing customer, invoice number, issue date and agreed Payment Due date.
  3. Choose the agreed currency. Add each trip and approved extra with dates, references, quantities and rates. Changing display currency does not convert prices.
  4. Check prior billing, supporting records and local invoice/tax particulars. Keep shipment documents in their required workflow.
  5. Record actual payments, preview the total and balance, and download the PDF for your agreed billing submission process.

Guest documents stay in this browser and do not automatically sync across devices. Keep a PDF or independent backup and review the storage and sharing explanation.

Transport invoice questions

How do I write a transport invoice for one trip?

Identify the billing customer, trip date, route and booking or consignment reference. Use quantity 1 for agreed fixed freight, or the measured quantity and unit rate in your agreement. Add approved extras only when they are not already included, then check the total, payments, due date and local particulars.

Can one freight invoice cover several trips?

You can list completed trips separately with a date, route and reference for each, when that matches the billing arrangement. Check earlier invoices and keep supporting records separately. The app does not import dispatch logs, reconcile trips, track deliveries or confirm customer acceptance.

How should I bill waiting or detention time?

Review the agreed free allowance, chargeable period, rounding and rate against arrival/release records. Enter only the approved billable quantity. The example uses two approved hours at USD 25, not a standard rate or automatic charge. The editor does not run a timer or decide which waiting time is payable.

Can I include tolls, loading and fuel surcharges?

Describe them separately if the agreement prices them separately, checking evidence and approval. Do not assume an at-cost policy or add an included charge twice. Enter an agreed surcharge calculation as a reviewed item amount; the app does not fetch fuel indices or calculate a surcharge on selected freight lines automatically.

Does this generate an LR, consignment note, e-way bill or proof of delivery?

No. Notes can hold references to those records, but the general invoice does not issue or validate them, certify delivery, manage permits or submit transport documents to an authority. Keep the required records in the appropriate workflow. A freight invoice is not a replacement for every shipment document.

Does it decide GST reverse charge or freight VAT treatment?

No. Review the jurisdiction, service, parties, registration, route and applicable documentation requirements separately. Do not assume all transport uses the same treatment. The general editor has one document-level Tax adjustment, no per-line tax classification or dedicated India GTA reverse-charge workflow. The linked HMRC freight guidance is UK-specific, not an Indian GST rule.

Is the transport invoice PDF free, and will an example replace my draft?

Guest creation, browser-local saving and PDF download do not require signup. The public examples do not read a draft. Editor actions select Invoice mode and Modern style without importing an example or clearing existing items, notes or terms. Payments are manual cumulative records, not bank verification. Review any existing draft and keep a PDF or independent backup.
