Tutor invoice generator for lessons and packages

Give the person paying a clear record of the lessons you are billing. Show the dates, duration and agreed rate, or name the package and what it includes. Then check the total, money received and balance before downloading the PDF.

Use the lessons, prices and payment terms you agreed. This general invoice editor does not track attendance, use up package credits, decide cancellation charges or determine education-tax exemptions. Review any existing draft before issuing.

Opens Invoice mode with the Minimal style. Neither example is loaded; review any existing draft before adding your lessons.

Make the lesson details easy to check

Your billing contact might be an adult learner, a parent or an organisation. Confirm who should receive the invoice and use enough detail to identify the work without copying private learning records into the bill. Per-lesson, monthly and package billing can all be described using the arrangement you agreed.

Tutoring invoice checklist

  • Your business details and the agreed billing contact, a checked invoice number, issue date and payment due date.
  • A suitable learner or booking reference and a clear subject or service description, using only necessary personal detail.
  • Completed lesson dates, duration, quantity and agreed rate, distinguishing an hourly rate from a per-session price.
  • For a package, its reference, included lessons and materials, service period and the scope covered by this invoice.
  • Separately agreed workbook, travel or other charges, checking that they are not already included or previously billed.
  • Reviewed tax particulars, agreed currency, full invoice total, actual payments received and remaining balance.

Use Notes for lesson dates, a suitable booking reference and agreed package scope. Confirm the recipient before sending. Keep assessment results, health information, school logins and other private learning records out of the invoice and shared link. The UK ICO reference explains data minimisation; it is not a claim that this invoice alone meets every privacy requirement.

Tutoring invoice examples: individual lessons and a package

These fictional USD invoices cover different learners and completed work. Prices illustrate the arithmetic, not recommended tutoring rates. No tax, withholding, cancellation fee or advance-payment tax treatment is modelled; this does not establish an exemption.

Learner reference: EX-LEARN-002 (fictional). Package EX-PKG-002 covers completed lessons on 2, 6, 9 and 13 October 2026. USD 180 is the agreed package price, with materials included. Individual lessons and materials are not charged again. This is not an advance invoice or a package-credit ledger.

Lessons: 3 × 1.5 hours × USD 40 = USD 180; add the agreed USD 12 workbook for USD 192. USD 60 received after issue leaves USD 132. The separate completed package totals USD 180 with materials included and no payment received. Both use an illustrative agreed 14-day payment period, not a statutory default.

Choose the unit that matches your agreement

Convert minutes to hours only when using an hourly rate: 45 minutes is 0.75 hours and 90 minutes is 1.5 hours. A fixed session or package price can use quantity 1 instead. For group tuition, describe whether you are charging for one learner’s place or the whole group.

Keep a package record alongside the invoice

Record the included sessions, attendance, credits used and any agreed expiry or refund arrangements separately. Invoodle does not track attendance, deduct lesson credits, schedule renewals or reconcile earlier package invoices. Before billing a package or individual lesson, check that it has not already been charged.

Review cancellations before adding a fee

Use the booking terms agreed beforehand and review the circumstances and applicable requirements. A cancelled lesson is not a completed lesson. If a charge is appropriate, describe it separately with the relevant booking reference. The editor supplies no default 24-hour policy or full-rate cancellation fee and does not establish a right to charge.

Record what has been paid and what is still due

In Payments & QR, enter the cumulative amount actually received against this invoice. If another USD 40 arrives after the lesson example’s USD 60 payment, enter USD 100 received. The full invoice stays $192.00 and the balance becomes $92.00. A payment is not a discount or a negative lesson charge.

These examples record completed work, with the lesson payment received after issue. For a prepaid package, review advance documentation and tax timing separately; do not count the same payment against multiple invoices. Recording money received does not verify a transfer or collect payment. Download an updated PDF or share a new snapshot after a payment.

Payment QR support depends on the configured method. UPI requires an INR invoice and UPI value; PayPal.me needs a handle and a matching payment currency. Check Stripe/custom link amounts yourself because they do not automatically change with the balance. Plain bank instructions do not automatically create a bank-transfer QR.

Check tuition and materials tax treatment separately

Do not assume that every service called education is exempt. Provider status, subject, delivery arrangement, registration and separately supplied goods can matter. HMRC’s linked notice discusses private tuition and related supplies in the UK; it is not a worldwide exemption or a determination for these fictional USD examples.

The general editor has one document-level Tax adjustment, not per-line tax classification or an education-tax eligibility check. A percentage applies to subtotal before the separate order discount. If lessons and materials need different treatment or additional particulars, use a suitable reviewed workflow.

Create the tutoring invoice PDF

  1. Open Invoice mode with the Minimal style. Existing items, notes and terms are not cleared, and neither example is imported.
  2. Confirm your business and billing recipient, invoice number, issue date and agreed Payment Due date. Use only necessary learner details.
  3. Choose the agreed currency and add dated lessons or the package covered now. Changing display currency does not convert prices.
  4. Check quantities, rates, materials, local invoice/tax particulars and earlier billing. Add reviewed terms and references.
  5. Record actual payments, inspect the total and balance, then preview and download the PDF. Send it to the agreed billing contact through your own message or submission process.

Minimal changes the shared layout’s style accent; it is not a separate tuition-management system. Guest documents stay in this browser and do not automatically sync across devices. Keep a PDF or independent backup and review the storage and sharing explanation.

References for invoice, tuition-tax and privacy checks

These UK references cover invoice particulars, education VAT and data minimisation. The ICO marks its guidance as under review. Check the current guidance and the rules relevant to your work; the links do not approve the examples or a cancellation policy.

Tutor invoice questions

How do I write a tutoring invoice for completed lessons?

Confirm the billing contact and list the lesson dates, subject, duration and agreed charging basis. For hourly billing, a 90-minute lesson is 1.5 hours; for a fixed session price, use quantity 1. Add separately priced materials only if agreed, then review the total, payments, due date and local invoice particulars.

Should I bill per lesson, monthly or by package?

Use the arrangement agreed with the payer. A monthly invoice can list each lesson separately; a package can show quantity 1 and its included sessions, period and reference. Check earlier invoices so included lessons or materials are not charged again. The editor does not decide the best schedule or track attendance.

Can I use this for a prepaid tutoring package?

You can describe an agreed package, but this page models a completed package, not an advance-payment tax workflow. Review advance documentation, tax timing, expiry and refund terms separately. Keep attendance, credits used and remaining sessions in a separate record; Invoodle does not manage them or renew packages automatically.

How should I handle a cancelled or missed lesson?

Check what was agreed before the booking, the circumstances and applicable requirements before adding any charge. Describe a reviewed cancellation charge separately from a completed lesson. This page supplies no default notice period, full-rate fee or refund policy, and the editor does not determine whether a fee is enforceable.

Is private tutoring exempt from tax?

Do not assume an exemption from the word tutoring. Review the jurisdiction, provider, subject, delivery arrangement, registration and any separately supplied materials. The linked HMRC notice is UK-specific. The general editor has one document-level Tax adjustment, not per-line tax classification or an education-tax eligibility check.

How do I record payments, and can I add a payment QR?

Record cumulative money actually received in Payments & QR; a USD 192 invoice with USD 60 received has USD 132 remaining. This does not verify or collect a payment. UPI QR requires an INR invoice and a configured UPI value; PayPal.me requires a configured handle and matching payment currency. Stripe/custom links are not automatically repriced to the balance. Plain bank instructions do not automatically become a bank-transfer QR.

Is the tutor invoice PDF free, and will the examples replace my draft?

Guest creation, browser-local saving and PDF download do not require signup. Public examples do not read a private draft. Editor actions select Invoice mode and Minimal style without importing an example or clearing existing items, notes or terms. Review the billing recipient and necessary learner details before sharing, and keep a PDF or independent backup.
