What to Include on a Freelance Invoice

7 min readBy InvoodleUpdated

Your client approved the work. Before you send the invoice, check who should receive it, which entity should be billed and whether the finance team needs a purchase order reference. Those details are easier to confirm before the invoice enters a payment queue.

A useful freelance invoice answers four questions: who is billing whom, what work is being charged, how much remains to pay, and when and how to pay it. Clear wording can reduce follow-up questions, but it cannot guarantee an approval or payment date.

Use this as a practical drafting checklist. Required fields, tax treatment, electronic reporting and payment rights depend on your location, customer and transaction. The fictional example is not a market-rate recommendation or a tax invoice certification.

1. Gather the details for your freelance invoice

Keep the contract or approved quote beside you as you draft. The list below combines useful billing details with fields that can be legally required; it is not a universal list of mandatory fields.

DetailWhat to check
Document type and numberLabel the invoice clearly and use a number checked against your issued-document register.
Your business identityUse the legal/trading name, address and contact details required for your business. Make the relationship to the payment recipient clear.
Customer billing entityConfirm the entity and address on the order or contract, plus the finance contact or submission portal.
Issue and service datesShow the issue date and identify the work period, supply date or milestone as appropriate.
Project and client referencesInclude the agreed project name, PO or client reference when needed.
Work and priceDescribe the deliverables or hours, quantity, unit, rate and line amount.
Currency and totalsName the currency; review subtotal, applicable taxes, discounts, charges and final total.
Payment received and balanceSeparate earlier payments from the invoice value so the client can see what remains.
Due date and payment routeRepeat the agreed payment date or terms, payment instructions and reference to quote.
Tax details where applicableCheck required identifiers, tax components, special wording and any reporting obligations for this supply.

For a concrete jurisdictional example, GOV.UK lists invoice details and additional sole-trader information. EU VAT guidance distinguishes full and simplified invoices and notes national provisions. Check the corresponding rules for your own business rather than treating either example as worldwide guidance.

2. Describe hourly and fixed-price work accurately

For hourly work, show the agreed rate and hours from your records. A description such as “Landing page design — agreed hourly work” is easier to match to a project than “Services.” Add the work period or milestone so the client knows which work this bill covers.

For a fixed package, use one unit at the agreed package price or the milestones you actually agreed. Do not invent hours or split a package into fictional tasks to justify the total. Include revision rounds or exclusions only when they reflect the agreement.

  • Use the same project names as the approved scope.
  • Separate additional work that the client authorised.
  • Show expenses only with the agreed description and supporting records.
  • Do not include private project notes or sensitive information the billing recipient does not need.

3. State the payment terms you actually agreed

Write the due date clearly and make it consistent with the contract, order and client payment process. If a term runs from acceptance or invoice receipt rather than issue, confirm that starting point. A date calculator can do arithmetic; it cannot decide the contract terms.

An advance or milestone payment can be useful when agreed for the job. There is no universal deposit percentage or payment period for all freelance work. Specify what is due, when it is due and how an advance will be credited against the later bill.

Do not add a surprise monthly fee and assume printing it on the invoice makes it enforceable. Contractual terms and statutory late-payment rights depend on the applicable law and transaction. For example, GOV.UK describes statutory interest for qualifying UK business debts separately from a contractual interest rate.

4. Check tax separately from the invoice layout

Freelancer is a description of how you work, not a tax treatment. Check your registration obligations, the service supplied, the customer and the relevant location rules before adding tax or describing the sale as exempt. Being below one registration threshold does not settle every tax obligation.

For example, the IRS explains US self-employment and income taxes as obligations separate from the appearance of an invoice. EU VAT guidance sets out invoice requirements and national variations. Neither a tax-number field nor a country selector decides the correct treatment of your transaction.

For cross-border work, do not assume that every business customer qualifies for reverse charge or that every foreign payment is tax-free. Confirm the applicable treatment and required wording. A PDF alone does not establish that any required electronic reporting has been completed.

If the client expects to withhold an amount, ask for the basis and supporting documentation and reconcile it separately from fees and cash received. Invoodle does not calculate withholding, verify certificates or handle the accounting treatment for you.

5. Review a freelance invoice example with a partial payment

Fictional invoice INV-2026-0044: Example Design Studio bills Example Client in USD for a design project. Issue date: 17 October 2026. Agreed payment date: 31 October 2026. Project reference: EX-4471; service period: 12–16 October 2026. Contact and address details are omitted from this illustration; add the required real details to your own invoice.

This arithmetic example applies no tax, discount or shipping. It does not assert a tax exemption. The hourly and package prices illustrate two billing methods, not recommended rates. The table uses Invoodle’s shared total and balance calculations.

DescriptionQuantityRate (USD)Amount (USD)
Landing page design — agreed hourly work8 hours$75.00$600.00
Social image pack — agreed fixed package1 package$250.00$250.00
Subtotal——$850.00
Invoice total——$850.00
Previously received——$200.00
Balance remaining——$650.00

The $200.00 USD already received reduces the remaining balance to $650.00 USD. It does not reduce the invoice value of $850.00 USD or become a discount. The received amount is a manual record; the app has not verified a bank transfer.

A neutral payment note could say: “Please pay the remaining balance by 31 October 2026 using the agreed method and quote INV-2026-0044.” No late fee, automatic collection or proof of delivery is implied.

6. Map the checklist to the current Invoodle editor

Business and Customer details hold the parties’ names, addresses and contact information. Customer details also contains the document number, issue date and Payment Due field. Line items support quantity, unit, rate and amount. Use Notes or Terms for the project reference, work period and agreed payment wording; there is no dedicated PO or separate service-date field.

The editor has one document-level tax setting. It does not support mixed per-line tax rates, separate CGST/SGST components or a dedicated buyer tax-ID field, and does not validate tax registration or report an e-invoice. Percentage tax is calculated on the item subtotal before the separate order discount. Use a suitable invoicing system if your transaction needs a different tax base, unsupported fields or statutory reporting.

Payments & QR lets you record an amount received and add supported payment instructions. It does not collect or verify money. Check the destination and amount yourself; a pasted Stripe or custom payment link is not automatically adjusted to the remaining balance.

Guest drafts and saved documents are browser-local. The number suggestion is also local, so check it against your issued register. Signing in does not automatically sync guest documents. Export a backup of records you need.

7. Review the copy and delivery route before sending

  • Confirm the client’s finance address or portal, billing entity and any PO reference.
  • Compare quantities, rates, totals, currency, dates and prior payments with the agreement and your records.
  • Preview the PDF and check the required details are readable and present.
  • When opening an email or WhatsApp composer, review the recipient and finish sending yourself. Attach the downloaded PDF when needed; opening a composer does not confirm delivery.
  • Treat a share link as a document snapshot. After a payment or correction, create a new copy or link and tell the client which version to use.
  • Keep the issued version and follow up through the agreed contact route. Check for a genuine query or dispute before escalating an overdue bill.

Frequently asked questions

What should I include on my first freelance invoice?

Start with the parties’ billing details, a reviewed invoice number, issue and service dates, a clear description of the work, amounts and currency, applicable tax details, payment terms and payment instructions. Add any references the client needs and check your local requirements.

Should I bill by the hour or by the project?

Use the method you agreed with the client. Show actual billable hours and the agreed rate for hourly work, or the agreed package or milestone for fixed-price work. Do not invent hours for a fixed-price fee.

How do I show a deposit already paid?

Keep the invoice value and previous payment separate. In Invoodle, record the amount already received and review the remaining balance. A request for an unpaid advance is not money received, and tax or accounting requirements for advances need a separate check.

Can I add a late fee to any overdue freelance invoice?

Do not assume so. Check the agreement, applicable law and transaction type. A fee printed on an invoice does not by itself establish an enforceable right; some statutory rights have their own conditions.

Does a PDF make my invoice legally compliant?

No. A PDF is a file format, not certification that the required fields, tax treatment, issue timing or electronic reporting are correct. Review the requirements for the transaction and the current editor’s limits.
