Show your client what the photography job includes: the session, editing, deliverables and any agreed extras. Record the deposit as money received so the invoice keeps the full price and shows what is left to pay.

A portrait session, wedding package and product shoot can have different scopes. Describe the work you agreed rather than forcing every job into the same package. Use Notes for the shoot date, location, delivery details and project reference.
- Your business and customer details, invoice number, issue date and payment due date
- Shoot date, location and the job or booking reference
- Session hours or the agreed package, with a clear quantity and rate
- Editing scope and deliverables, including image count and file format where agreed
- Any agreed travel, assistant, print, album or usage fee, identified clearly
- Total received so far, including the deposit, and the remaining balance
This is a practical job checklist. Check the tax and invoice requirements for your business and transaction before issuing the final document.
Photography invoice example: a product shoot
A small brand books a four-hour shoot, three hours of editing and an agreed travel charge. The photographer has already received ₹5,000. This fictional INR example uses illustrative prices and includes no tax calculation.
Example Photo Studio
- Customer
- Example Brand
- Invoice number
- PHOTO-2026-0024
- Issued
- Payment due
| Work or charge | Qty | Rate | Amount |
|---|---|---|---|
| Product photography session — 4 hours | 4 | ₹2500.00 | ₹10000.00 |
| Editing & retouching — 3 hours | 3 | ₹1000.00 | ₹3000.00 |
| Agreed travel charge | 1 | ₹800.00 | ₹800.00 |
- Invoice total (INR)
- ₹13800.00
- Amount received — deposit
- ₹5000.00
- Balance due (INR)
- ₹8800.00
Shoot date: 16 October 2026. Job: product images for Example Brand. Deliverables: 20 edited JPEG images. Delivery date and usage details: as agreed for the project.
₹10,000 + ₹3,000 + ₹800 = ₹13,800. Subtracting the ₹5,000 already received leaves ₹8,800 to pay. The full sale remains ₹13,800; the deposit is recorded against it.
Hourly work, packages and extras
Match the invoice to your pricing agreement. A fixed-price wedding package can be one item; an hourly job can show the shoot and editing time. List extras separately when they are outside the package.
| Work or charge | One way to enter it | What to make clear |
|---|---|---|
| Shoot time | Hours × hourly rate | Session date, duration and location |
| Fixed package | Quantity 1 × package price | What the package includes; avoid charging included editing twice |
| Editing / retouching | Hours or number of images × agreed rate | Which edits and deliverables the price covers |
| Travel or assistant | Agreed units or a fixed amount | Description and price matching the approved scope |
| Prints or albums | Number supplied × price each | Size, quantity and any agreed delivery charge |
| Usage fee, if agreed | Quantity 1 × agreed fee | Reference the usage scope in the project agreement |
Keep delivery and usage details specific
In Notes, record the image count, file format and delivery date you agreed. For commercial work, you can reference the agreed usage scope and any associated fee. The invoice editor records your wording; it does not draft a licence, decide ownership or enforce a rights agreement.
For background, see the U.S. Copyright Office’s guidance for photographers. That source covers U.S. copyright; the applicable rules and your project agreement need their own review.
How to make your photography invoice
- Open invoice mode. An empty photography draft starts with shoot and editing rows in hours; review any existing draft items before continuing.
- Choose the currency, add your business and customer details, then check the invoice date and Payment Due date.
- Enter the hours or package price, plus any agreed extras. Complete the shoot details, deliverables and project reference in Notes.
- In Payments & QR, enter the total received so far. Review the full invoice total, amount received and balance due.
- Check the preview and download the PDF. Attach it to your own email or message and keep a copy.
Record the total received, not just the last payment
If the example customer pays another ₹2,000, update the received total from ₹5,000 to ₹7,000. The invoice total stays ₹13800.00 and the remaining balance becomes ₹6800.00. Recording a payment does not verify a bank transfer or collect money.
Send an updated PDF or create a new shared snapshot after changing the payment record. A previously shared snapshot does not update itself.
Still agreeing the job? Start with a quote. Use the due date calculator for date arithmetic, or Invoice Check to review a draft. After full payment, you can convert the invoice to a receipt.
Photography invoice questions
How do I record a deposit on a photography invoice?
Keep the full job price in the items. In Payments & QR, enter the cumulative amount received, including the deposit. The preview and PDF show Amount received and Balance due. Entering the same deposit as a discount or negative item would reduce the sale total as well.
Can I make a wedding photography invoice?
Yes. Use one line for the agreed wedding package, then add only the extras outside that package. Put the wedding date, venue, booking reference and deliverables in Notes. Record any booking payment in the amount received field.
Should editing be a separate line?
Use the structure you agreed with the client. If editing has its own hourly or per-image price, show it separately. If it is included in a fixed package, describe that inclusion so it is not charged a second time.
Can I include image usage details?
Yes. You can write a summary or agreement reference in Notes or Terms and add a usage fee if one was agreed. Invoodle does not decide ownership, draft a licence, enforce usage restrictions or decide when rights begin.
Does it collect the deposit or verify a transfer?
No. Amounts received are manual records. Check your own payment records before updating them, and enter the total received to date rather than only the latest payment. Share an updated PDF or a new shared snapshot after a change.
