GST invoice preparation for Gujarat businesses

Before goods leave an Ahmedabad workshop or a Surat unit, establish why they are moving. A customer sale, an installation contract and a job-work dispatch need different checks. Gather the right details before choosing a document or entering tax in the INR editor.

India mode selects INR and a supplier GST-number input. It does not select a state registration, determine place of supply, split CGST/SGST/IGST, generate an IRN or file GST returns. Review the required particulars and PDF limits before issue.

Start with Gujarat state code 24 and the actual registration

Gujarat is code 24 in the official e-way-bill state master. Check the supplier’s legal identity and relevant registration, not just a workshop address or a matching prefix. The code does not validate a complete GSTIN, active status or entitlement to collect tax.

Confirm which customer entity is buying, where the goods are dispatched from and where they will be delivered or installed. Keep the purchase order and instructions together when those addresses differ.

Use Gujarat’s official State Tax website for departmental resources, then check the applicable current legislation and notifications. A city or industrial area is not a product classification or rate.

Separate a sale from installation and job-work movement

These fictional cases assume an identified Gujarat supplier. The first two are taxable goods supplies to registered buyers, excluding SEZ, import/export, third-person bill-to/ship-to directions and other special treatment. The third is a separate job-work scenario, not an assumed sale.

For ordinary goods movement, review the delivery endpoint. Goods supplied with assembly or installation at site have a specific place-of-supply rule. Do not use the supplier’s workshop address as the answer for every contract.

Check the delivery challan separately from the job worker’s bill

Section 143 provides a conditional procedure for a registered principal sending goods for job work. Check the prescribed challan, accounts, return or onward-supply conditions and applicable reporting. It is not a blanket exemption for every movement described as processing.

The principal’s goods-movement record and the job worker’s processing-service invoice serve different purposes. Review the processing service, registration and current treatment separately. Do not invoice the goods as a sale merely because they left the premises, or assume the service is tax-free because the goods moved under a challan.

CBIC’s 2018 job-work circular explains the distinction and challan framework. Read it with current rules and amendments; its historical reporting frequency is not a current filing calendar. Check e-way-bill requirements independently.

Prepare the particulars before a taxable sale is dispatched

For ordinary taxable goods involving movement, review invoice timing before or at removal, subject to the applicable exceptions. A payment due date is a separate detail. Unregistered persons must not collect GST as though registered; composition and exempt supplies can require a different document.

Collect the invoice reference and date, supplier and buyer details, description, quantity, classification, reviewed taxable value, rate, tax components and required delivery/place-of-supply particulars. Reconcile quantities and supporting dispatch references before issue.

Invoice and delivery-challan particulars have their own requirements. Invoodle does not offer a delivery-challan export: renaming an invoice, quote or receipt does not establish that it meets the required format.

Check an assumed calculation without choosing a manufacturing rate

For arithmetic only, assume a correctly determined INR 15,000 taxable base at a combined 18%. Tax is INR 2,700 and gross value is INR 17,700. This does not select the rate for machinery, textiles, processing or any other Gujarat supply.

An ordinary intra-state case correctly attracting that treatment illustrates INR 1,350 CGST plus INR 1,350 Gujarat SGST; a correctly classified inter-state case at the same assumed rate illustrates INR 2,700 IGST. Equal totals do not make tax heads interchangeable. This is not a job-work dispatch value or a complete invoice. The GST preparation page links the shared-engine payment and balance example.

Review the editor’s GST and dispatch limits before issue

The action selects invoice mode, India and INR, not a Gujarat registration. It does not validate GSTINs, classify goods or decide place of supply. Supplier GST-number entry is available; dedicated buyer GSTIN, HSN/SAC, place-of-supply and reverse-charge controls are absent.

The PDF exports one general Tax total, not the illustrated CGST/SGST/IGST breakdown. One document-level percentage applies to subtotal before the separate order discount. The editor does not resolve mixed line rates, adjusted statutory taxable bases, challans, job-work registers, IRNs, e-way bills or GST returns. Use a suitable reviewed workflow for unsupported particulars and reporting.

Keep issued copies, challans, quantity reconciliations and corrections with your financial-year register. The suggested counter uses calendar years. Guest records remain in this browser without automatic device sync; export backups and review the separate handling of sharing/account features. Payments and reminders require manual action.
