GST invoice preparation for Tamil Nadu businesses

A returned order needs a clear trail back to the original bill. Before preparing a Chennai or Tiruppur sale, confirm the registration and delivery details; if goods come back, reconcile the return, credit and payment separately. These examples help you gather the details before opening the INR editor.

India mode selects INR and a supplier GST-number input. It does not select a state registration, determine place of supply, split CGST/SGST/IGST, generate an IRN or file GST returns. Review the required particulars and PDF limits before issue.

Use Tamil Nadu code 33 without including Puducherry

Tamil Nadu is code 33 and Puducherry is code 34 in the official state master. Do not choose a Tamil Nadu registration just because a customer is nearby or uses Tamil in its correspondence.

Check the full legal customer, relevant GSTIN and delivery address. A 33 prefix identifies a jurisdiction; it does not validate the complete GSTIN, current registration or the treatment of the supply.

The Tamil Nadu Commercial Taxes Department is the official state resource entry point linked by the NIC e-way-bill website. Check applicable current Acts, rules and notifications through the appropriate official resources rather than choosing a rate from a city or product nickname.

Separate the original delivery from a later sales return

The first two fictional cases assume a taxable goods supply from a Tamil Nadu supplier to an identified registered buyer. They exclude SEZ, import/export, installation, third-person bill-to/ship-to directions and other special treatment. Apply different rules where those assumptions do not fit.

For ordinary goods movement, compare the supplier location with the place where movement ends for delivery. A later return is a separate document and reconciliation question; it does not make the original supply disappear.

Review a sales return before reducing GST

For returned goods after a tax invoice, section 34 provides for a credit note by the registered supplier. Review the applicable reporting deadline and conditions, including recipient input-tax-credit reversal where relevant. A commercial refund alone does not automatically reduce GST liability.

Link the original invoice, return acknowledgement, accepted quantities and proposed credit. Keep issued copies and the correction trail; editing or deleting a browser draft does not amend an issued document or a filed return.

Keep invoice, credit and payment figures separate

Assume a correctly determined INR 10,000 taxable base at 18%, giving INR 1,800 tax and INR 11,800 gross. Now assume an accepted return with INR 2,000 taxable value and INR 360 tax, and that the relevant credit and adjustment conditions are satisfied. The assumed credit is INR 2,360; the charge remaining after that credit is INR 9,440.

The example is arithmetic, not a textile rate, credit-note eligibility decision or complete tax document. For an ordinary intra-state case at the assumed rate, the original tax would be INR 900 CGST plus INR 900 Tamil Nadu SGST, and the assumed tax credit INR 180 plus INR 180. An inter-state case would need its corresponding IGST treatment.

The INR 9,440 remaining charge is not automatically the cash still due. Reconcile verified payments, any refund and the accepted credit separately. Invoodle’s discount field is not a GST credit-note workflow; the linked GST preparation page explains the shared engine’s ordinary payment and balance calculation.

Collect the right particulars for each document

Review registration and the required document first. Unregistered persons must not collect GST as though registered; composition and exempt supplies can require a bill of supply. A zero percentage does not establish the correct document.

Prepare the invoice reference and date, supplier and customer details, classification, quantities, reviewed values, rates, tax heads and required delivery/place-of-supply particulars. For a credit note, also check the original document references and prescribed note particulars.

Keep statutory issue timing separate from the agreed payment date. Read CBIC’s historical particulars with current rules and amendments; the checklist does not establish a complete invoice or credit note.

Review the INR editor before issuing or correcting a bill

The action selects invoice mode, India and INR, not a Tamil Nadu registration. It does not verify GSTINs, classify goods or determine place of supply. Supplier GST-number entry is available; dedicated buyer GSTIN, HSN/SAC, place-of-supply and reverse-charge controls are absent.

The PDF shows one general Tax total without separate GST heads. One document-level percentage applies to subtotal before the separate order discount. The editor exports invoices, quotes and receipts; it does not generate GST credit/debit notes, reconcile tax returns, create IRNs or file GST. A renamed document or negative line is not a reviewed statutory correction workflow.

Guest records stay in this browser without automatic device sync. Keep issued copies and corrections outside the editable draft, export backups and maintain your financial-year reference register; the suggested counter uses calendar years. Sharing/account features have separate data handling. Payments and reminders require manual action.
