UK Invoice Generator: Prepare a Clear GBP Invoice
Add your business and customer details, describe the agreed work, and set out the amount and payment date. Use this UK checklist to review the bill, then check any VAT and digital-record duties that apply to your business.
By Invoodle · Updated
UK mode selects GBP. VAT numbers, a separate tax point and per-line VAT breakdowns are not dedicated fields in this editor. Review the limits below before using the output as a VAT invoice.
Currency
Pound Sterling (GBP)

Standard rate 20%; reduced, zero-rated and exempt treatment depend on the supply. Registration does not make every sale standard-rated.
Registration
Usual UK-established tests: VAT-taxable turnover over £90,000 in the last 12 months, or expected to exceed £90,000 in the next 30 days alone. Special cases differ.
UK invoice checklist: start with the general details
- A unique identification number you can use to track the bill.
- Your business name, address and contact details, plus the customer’s name and address.
- A clear description of the goods or services and the amounts charged.
- The invoice date and the date the goods or services were provided.
- The VAT amount where applicable and the total owed. VAT invoices need additional particulars.
Agree payment terms and the submission route
- Agree when payment is due and what starts the payment period; repeat the terms accurately with a calendar due date.
- Confirm the billing contact, purchase order or portal requirements before sending.
- Agree the currency, payment method and any provider or conversion charges. Verify changed bank details through a known contact.
- Record money received only after checking the payment evidence; send a manual reminder for the remaining balance where needed.
Use the right sole trader or company identity
A sole trader must include their own name and any business name used, with an address for delivery of legal documents when using a business name. A limited company must use its full name as shown on its certificate of incorporation.
Company disclosure duties for letters, order forms and websites have their own rules. Do not assume this invoice checklist covers every business document. Keep personal tax credentials out of routine PDFs and share links.
Check both VAT registration tests
For the usual UK-established business tests, registration is required when VAT-taxable turnover exceeds £90,000 over the last 12 months, or is expected to exceed £90,000 in the next 30 days alone. The rolling test is not your tax-year turnover.
Check HMRC’s effective-date and registration-deadline rules. Voluntary registration is possible below the threshold; non-established businesses and other special cases can follow different rules. A pending application also needs effective-date guidance rather than assuming VAT starts only when the number arrives.
The standard rate is 20%, with 5%, zero-rated and exempt categories subject to their conditions. Confirm the actual supply and any special rules before selecting tax in the editor.
A VAT number alone does not complete a VAT invoice
A full VAT invoice needs more than the general checklist: review its sequential identifier, supplier VAT number, issue date and tax point, customer identity, supply details and required VAT amounts and breakdown. The tax point is not automatically the invoice date in every case.
Simplified and retail invoice routes have conditions. HMRC allows a simplified invoice for a supply of £250 or less when the customer agrees, with an additional Northern Ireland/EU restriction. Check the current rules rather than assuming every business sale needs the same format.
For a VAT invoice in a foreign currency covering a UK supply, the total VAT payable must be expressed in sterling using the permitted conversion basis. The editor’s currency selector does not create the required dual-currency particulars.
Check a fictional GBP invoice example
Example INV-2026-0045 bills agreed work on 17 October 2026, due 31 October 2026. No tax, discount or shipping is applied for this arithmetic illustration. It does not establish VAT exemption or registration status; real identity, address and contact particulars are omitted.
The £100.00 received is a payment, not a discount. The £400.00 balance comes from the shared engine; the app does not verify a bank transfer. This example never replaces your draft.
| Component | Calculation or record | Amount (GBP) |
|---|---|---|
| Hourly work | 4 hours × £75 | £300.00 |
| Fixed package | 1 × £200 | £200.00 |
| Invoice total | Sum with no tax/adjustments applied | £500.00 |
| Previously received | Manual record of an actual prior payment in this example | £100.00 |
| Remaining balance | Total less received amount | £400.00 |
Keep records and check Making Tax Digital separately
Sole trader Self Assessment records generally need keeping for five years after the relevant 31 January filing deadline; very late filing changes the rule. Limited company records generally need six years from the end of the last company financial year they relate to, with longer-retention cases.
VAT records generally require at least six years, or ten for the relevant OSS/MOSS records. Digital-record requirements and exemptions also apply; an exported invoice PDF alone is not a complete filing or bookkeeping system.
Making Tax Digital for Income Tax is separate from VAT. Eligible sole traders and landlords with qualifying income over £50,000 in 2024–25 were required to start from 6 April 2026, subject to the rules and exemptions. Use HMRC’s checker for your own start date and later phases. Invoodle does not file VAT, Self Assessment or MTD submissions.
Check late-payment rights before adding charges
For qualifying commercial debts, GOV.UK describes statutory interest as 8 percentage points above the Bank of England base rate. A different contractual interest rate affects that remedy. Recovery compensation has separate conditions; do not assume every overdue invoice qualifies.
If no payment date is agreed, GOV.UK’s commercial-payment guidance uses 30 days after the customer receives the invoice or the goods/services are supplied, whichever is later. Agreed dates and public-authority transactions have their own rules.
The late-payment calculator illustrates one constant-principal, constant-rate period using a fixed 365-day year. It does not fetch Bank Rate, determine entitlement or handle part payments. Check the contract, dates, principal, rate and prior charges before a claim; a reminder cannot guarantee recovery.
Review the current editor before downloading

UK mode has no dedicated VAT-number inputs, separate tax-point field or per-line VAT breakdown. The PDF has a generic Tax line. One document-level tax percentage applies to the subtotal before the separate order discount; notes do not automatically supply or validate statutory VAT particulars.
Use a suitable reviewed workflow when the current editor cannot represent the required invoice. It does not validate VAT registration, determine cross-border treatment, reconcile bank payments or reserve invoice numbers across devices. Guest drafts stay in this browser without automatic device sync; reminders and received amounts require manual action.
Rates and thresholds on this page were reviewed in October 2026 and do change. Confirm your position with HMRC and GOV.UK or your accountant before relying on it.
