Invoicing in the United States

US Invoice Generator: Prepare a Clear USD Invoice

Give your client a bill they can identify, approve and pay: clear business details, agreed work, amounts, currency and payment terms. Then check the state, industry and tax-form requirements that apply to your transaction.

US mode selects USD. The editor does not determine sales-tax nexus, look up address-level rates or prepare tax forms. Review the tax and feature limits below before sending.

Check the relevant state and local rules for the supply, sourcing and rate. A USD setting does not determine whether tax applies.

Registration

Review state-specific physical/economic nexus and registration duties, including marketplace rules. There is no single revenue threshold to apply nationwide.

A practical US invoice checklist

  • Identify your business and the customer being billed, with appropriate addresses and contact details.
  • Use an invoice reference you can track, an issue date and the relevant service period, delivery or milestone.
  • Describe the agreed items or work, quantities or hours, rates, line amounts and any adjustments.
  • State the currency, applicable sales tax and total, with any actual prior payment and remaining balance shown separately.
  • Add the agreed due date, payment instructions and any PO or client reference needed for processing.

Agree payment terms before submitting

  • Confirm what starts the payment period and the agreed calendar due date; a term such as Net 30 is not a universal client standard.
  • Ask for the approved billing address or supplier portal and any PO, approval or attachment requirements.
  • Compare the actual ACH, card, wire or other provider terms; agree currency conversion and intermediary charges where relevant.
  • Check the contract and applicable law before adding fees or interest. Follow up manually with the invoice reference and remaining amount.

Start with the client’s process, then check legal particulars

The checklist above is a billing starting point, not a nationwide legal-format certification. Your state, industry, transaction and contract may require additional information. Confirm who is being billed and explain any difference between a trading name and the payment recipient.

State invoice rules can be specific. For example, New York’s sales-tax vendor guidance requires sellers to identify taxable and nontaxable items and separately state sales tax on the customer’s invoice or receipt. Use that state’s guidance where applicable; do not generalise it into a complete US checklist.

Confirm whether the client accepts a PDF or needs a portal submission. Keep the issued version and evidence of submission rather than assuming an emailed PDF is accepted everywhere.

Review sales tax by state, supply and collection route

Check physical and economic nexus, what counts toward a state’s tests, registration timing, taxability, sourcing, exemptions and marketplace collection. The customer’s address and a single national turnover figure do not settle all those questions.

Texas, for example, distinguishes taxable data-processing services from professional services that merely use a computer as a tool. A label such as consulting, digital product or software work does not classify every service.

An overseas business is not automatically outside US sales-tax duties: Texas provides a registration route for remote sellers outside the US. New York also explains circumstances in which marketplace sellers must register and file even when the marketplace remits tax. Check the relevant authority’s rules for your actual sales.

Keep W-9 and foreign-status forms separate from the invoice

A W-9 provides a US person’s correct taxpayer identification number and certifications for information reporting. Follow the name, entity and TIN instructions; a trading name or an LLC label alone does not determine the correct tax-reporting entry.

Tax status decides the form, not simply where you live. A foreign individual may need W-8BEN and an entity may need W-8BEN-E; exceptions can require other forms. Do not assume a US citizen living overseas should use W-8BEN, or that the form guarantees a withholding exemption.

Provide sensitive forms through the verified client’s secure onboarding process. Keep SSNs, full tax forms and other tax credentials out of ordinary invoice notes, PDFs and share links. Withholding can apply in some circumstances, including backup withholding; sales tax is a different issue.

Use the payment year for 1099-NEC reporting

For qualifying service payments made in 2026, the general federal 1099-NEC reporting threshold is $2,000 or more to a payee over the calendar year. The earlier general threshold was $600 for payments before 2026. Check later-year IRS adjustments and the specific reporting conditions; an unpaid invoice is not itself a payment.

The business payer generally files the form and gives a copy to the recipient. Entity exceptions, backup withholding and payment type matter. Payment-card and qualifying third-party-network transactions follow separate 1099-K rules rather than being reported again by the customer on 1099-NEC; not every app transfer has the same treatment.

A reporting threshold is not a tax-free allowance. Keep income records even without a 1099. Do not add a “1099 tax” surcharge to the bill.

Check a fictional USD invoice example

Example INV-2026-0044 bills agreed work on 17 October 2026 with an agreed due date of 31 October 2026. Tax, discount and shipping are set to none for arithmetic only. This does not establish a tax exemption or a suitable market rate; real contact and address details are omitted.

The $200.00 received is a payment, not a discount. The remaining $650.00 is calculated by the shared engine. This illustration does not load your draft or verify a bank transfer.

Keep the issued bill and supporting records

Keep the issued invoice, contract or PO, payment records and any adjustment documents so you can explain income, expenses and balances. Federal tax records and state sales-tax records serve different requirements.

The IRS bases retention on the action, expense or event and the relevant limitation period; there are exceptions and longer-retention cases. Do not apply one blanket number of years to every invoice or delete records solely because a PDF is old.

Keep an audit trail when correcting an issued bill. An invoice, money received, a provider fee and tax withheld are different records; determine the appropriate accounting treatment rather than changing the invoice total just to match a bank deposit. Export browser-local documents and maintain retrievable backups.

Review the editor and calculator limits before sending

The editor link opens invoice mode with USD. You enter the business details, work, tax, terms and payment instructions. It does not determine nexus, classify taxable supplies, validate exemptions, prepare W-9/W-8 forms or file 1099s and tax returns.

There is one document-level tax adjustment. A percentage applies to the item subtotal before the separate order discount, with a general Tax line in the PDF. There are no per-line taxable/exempt flags or automatic state/local jurisdiction breakdowns. Mixed-tax transactions and required particulars need a suitable reviewed workflow.

The sales-tax calculator uses a combined rate you enter after checking the applicable state and local rules. It does not perform address lookup or verify current rates, the taxable base or collection duties. Use it for arithmetic only after checking your inputs.

Guest records stay in this browser without automatic device sync. Amounts received and reminders need manual action; the app does not verify transfers, reconcile bank accounts or send scheduled collection messages. Review the PDF and submit through the client’s agreed route.

Rates and thresholds on this page were reviewed in October 2026 and do change. Confirm your position with the IRS for federal-tax questions or your accountant before relying on it.
